Good donation software numbers each receipt in an unbroken series, links it to one donor and one fund, and reports by donor, fund and date. The trustee pack opens with receipts reconciled against the bank statement, so any gap is explained before the meeting moves on.
A receipt series that never has gaps
Every receipt carries a number. Numbers run in order with no repeats and no holes, so when an auditor finds receipt 418 missing between 417 and 419, someone must explain where it went. Silence from the clerk looks worse.
Most trusts keep separate series for general donations, corpus gifts, event collections and in-kind items, each with its own prefix and its own financial year reset. Software should assign every number from the right series, so no clerk types one by hand and risks a duplicate or a gap.
A mistake is cancelled, not deleted. The cancelled number stays in the register beside its reason and the clerk who cancelled it, and the replacement gets a fresh number that cites the original.
- Separate series for each kind of gift
- Prefix and yearly reset set once
- Cancelled numbers kept with a reason
- Reprints marked as duplicate copies
One donor, one record
The same person gives in March by cash and in October by transfer, and if the clerk types the name twice with different spellings, you hold two donors. Now the statement is wrong.
The donor master holds name, address, phone, tax identity where the law asks for it, and a link to each receipt issued since the day it was created. A search by phone number before saving a new donor prevents most duplicates, and merging two records later must carry every receipt across.
Anonymous gifts do happen. Record them under one dedicated donor entry rather than leaving the field blank, so the totals still tie out at the year end.
Donor-wise and fund-wise views
A donor-wise statement lists every gift from one person in a year, with dates, modes and receipt numbers, and donors ask for it at filing time. It should print in seconds. Mornings lost to ledgers are wasted.
A fund-wise summary answers a different question: how much came into the building fund, how much went out, and what is left to spend. Restricted gifts stay tied to purpose. A donor who gave for a school roof should never find that money spent on the electricity bill or the caretaker’s overtime.
Both views come from the same receipts. If the donor totals and fund totals disagree, the data is wrong, and you want to see that early rather than at the audit.
- Donor statement by year with receipt numbers
- Fund balance from opening to closing
- Restricted and unrestricted money kept apart
- Mode split across cash, cheque and online
What the trustee pack should show
Trustees do not need a thousand rows. They need a pack of a few pages at every meeting, and first comes the reconciliation of receipts against the bank statement, with any difference explained line by line.
Next come receipts this period by fund, then the largest donors, then overdue pledges, then a list of cancelled receipts and edited entries since the last meeting. It shows the books are watched.
Keep the format the same each time. A trustee who reads the same five pages for a whole year will notice the moment a pledge slips or a gift lands in the wrong fund.
Checking your own setup
Take last month’s receipt book or export. Count the numbers from first to last and list every gap, then pick ten donors and check each against the bank statement line by line.
If that takes more than an afternoon the process is leaking time, so write down the three biggest delays and raise them at the next meeting.
Then ask whoever issues receipts to walk you through a cancellation, step by step, with the register open beside the screen, since it teaches more than a demo.
Trustee meeting pack template
A five-page template with fixed blocks: bank reconciliation, receipts by fund, top donors, overdue pledges, and a log of cancelled receipts and edited entries. Each block has columns for date, receipt number, donor, fund, mode and amount, plus a line for the trustee’s query to be raised at the meeting. Print it fresh each time.

Can a receipt be edited after it is issued?
Editing in place is risky. Better practice is to cancel it with a reason and issue a new one, so the cancelled number stays in the register and the series has no hole.
Why do donors ask for a statement?
Donors ask every year. They need a record of the year’s gifts for their own tax filing or accounts, and a donor-wise statement lists dates, modes and receipt numbers in one place.
How often should trustees see the donor reports?
At every meeting, in the same layout. Regular sight of the reconciliation and the exception log catches a duplicated receipt, a missing number or a wrong fund while the error is small.
