How Should a Gym Handle Membership Renewals and Overdue Payments?
List members by plan end date, send a reminder a set number of days before, and log every call with its outcome. Keep part payments as a balance on the member’s record. Sort members by plan end date, not by name
A renewal list works when it is ordered by the date the plan ends. Each row shows the plan, the last visit and any balance due. The desk starts each morning from the top of that list.
Four groups are worth keeping apart, because each needs a different call. A member who is paused on a freeze should not be chased at all.
Members who lapsed long ago do not need a daily call. They move to a win-back list, where a festival offer or a fresh trial pass can bring them back.

Set reminders and record every call
A reminder can go by WhatsApp, text or email a set number of days before the end date, once the channel is connected. The owner decides the timing. The owner also decides the wording, in English or the local language.
Calls need a record too. Log the outcome each time: renewed, will come Saturday, wants a different plan or not interested. Set the next call date on the spot. Where the desk notes a reason, the owner can later read lapsed members by reason.
Bill the renewal from the existing record
A renewal opens the member’s existing record, so no new joining form is needed. The form and the photo are already there. Only the new plan, fee, discount and payment mode are entered.
The owner chooses when the new plan starts. It can begin the day after the old one ends, or on the day of payment for a lapsed member. The plan history then shows the full run of plans. A lapsed plan is also flagged at check-in, and the desk can renew from that screen.
Track part payments and dues on the account
A member who pays half now and half next week holds an active plan with a balance due. Record that balance with a promised date. Each instalment is entered against the plan, with the next date and amount, until the balance reaches zero.
The balance shows at check-in and at renewal, so the desk needs no separate dues notebook. Cash, UPI or card is recorded for each payment, and one bill can be split across two modes. Where the owner wants, a plan with an unpaid balance past its date is flagged at the door.

Decide these rules before reminders go live
Settle four points first. They shape what the desk says to every member who calls or walks in.
Whether bills carry GST, and at which rate, is for the owner to settle with an accountant. A Tally export is quoted on its own, apart from the core system.
A gym with a few dozen members can track expiry dates in a register and take UPI. Software starts to pay its way when the desk can no longer say, from memory, who is due, who has lapsed and who owes a balance.

Lay out the members down the rows, with plan end date, last visit, balance due, call date, outcome and next call date. Fill it for the members whose plans end this month. It shows how many calls the desk can make in a day and where dues slip.

Can renewal reminders go out automatically?
Yes, through WhatsApp, text or email, once the channel is connected. The timing and the message text are agreed with the owner. Members on a freeze are not sent reminders until the freeze ends.
