How a Sivakasi fireworks unit keeps stock and issue registers

The short answer

A fireworks unit keeps three linked registers, covering chemical stock, daily issue to workers and finished lots, and software checks every entry against the licence limit you enter. It records and warns. It never replaces the licence. The authority stays in charge.

Why the registers matter more here than in most factories

A fireworks unit works under a PESO licence that sets what may be stored and where, with limits written for each licensed building, not kept in someone’s head.

Potassium nitrate, sulphur, aluminium powder and barium compounds go into precise recipes, so a late entry or an unnamed bag issue creates doubt when an inspector walks in. It also hides real losses.

Your licence terms come from the authority. Software cannot interpret them for you, but it can hold the limits you enter and refuse a receipt that would breach them.

  • Stock by chemical, by licensed shed
  • Daily issue to each worker or team
  • Finished lots by product and store
  • Dispatch against buyer orders and transport slips

The daily issue register

Each morning the foreman issues chemicals for the day’s composition work, and the register should show who received what, how much, at which shed and at what time. Returns are entered the same way.

A paper book stops working when it sits in one office while the shed is a long walk away, because entries then wait until someone carries the book across. Software on a phone or counter tablet lets the storekeeper record each issue as it happens, and the worker acknowledges on the spot, so no later argument starts.

The day’s closing balance is a check. Opening stock plus receipts, minus issues, plus returns, must equal what is in the shed, and any gap is looked at that evening, not at the next inspection.

Stock by chemical and by finished lot

Chemical stock needs a record for each material and each licensed store, with receipts carrying the supplier, invoice and batch, while issues reduce the balance. A balance that climbs close to the licensed limit shows in colour, so the manager sees it before another lorry arrives with more.

Finished goods need lots. A lot is a day’s run of one item, such as a ground chakkar or a sparkler box, and carries the fill date and the shed it came from. If a complaint comes back, the lot number leads you to the day, the team, the shed and the chemical batches that went into it.

Match units use splints, composition and boxes. The lot logic stays the same.

  • Material, supplier and batch on every receipt
  • Store and shed on every movement
  • Lot number on each finished carton
  • Opening and closing balance each day

Surviving the pre Deepavali peak

Orders and production bunch up in the months before Deepavali, when temporary hands join, issue slips pile up and trucks load day and night. Paper falls behind first.

Plan for the peak before it arrives. Pre enter workers, set shed limits and keep a list of fast-moving products, so entries take seconds and the supervisor sees the day’s issue at noon, not midnight.

Dispatch needs the same care. A carton leaves only if its lot and stock entry exist, so the gate can match each carton’s lot number to the register.

What software does not do

Software does not grant a licence, approve a building or interpret the rules, so keep your licence conditions in the file beside the register and follow the authority’s notices.

It also cannot fix unsafe practice. Its job is narrow and useful, which is to keep accurate entries, show limits and print the register in the form you present to the inspector. Ask your licensing consultant what format the authority expects before you configure a single screen, since a wrong layout means printing the register twice.

This week, copy your licence limits for each shed onto one sheet and compare them with what your current register actually records.

Daily issue and stock register sheet

One sheet holds three parts. Chemicals carry licensed store, opening balance, receipts, issues, returns and closing balance, and finished lots show product, fill date, shed, cartons and dispatch. Worker issue lists time, quantity and acknowledgement.

Questions owners ask

Can software replace the paper register an inspector expects?

Only if the authority accepts that format. Check with your licensing consultant first. Many units sign the printed sheet from the software each day, so the record exists both on screen and on paper, ready for any visit by an inspector.

Does the system know our PESO licence limits?

It knows what you enter. You record the permitted quantity for each licensed store from your licence, and the system warns when a receipt would cross it. The conditions stay yours to read.

How do we handle workers with no smartphone?

The storekeeper enters the issue at a counter device, and the worker confirms with a signature on paper or by name at the counter. Phones help the supervisors. A worker needs none.

Does this work for match units as well?

Yes. The materials are splints, chemicals for the head composition, paper and boxes, but the records are the same: stock by store, daily issue and finished lots by day.
