In this guide 6 sections
Show each audience only what it asks about weekly. Parents need fees and attendance, patients need reports and bills, tenants need dues and requests, and chit or gym members need statements. Keep margins, internal notes and edit rights behind the staff login.
Start with the question each visitor asks
A portal exists to answer calls early. Open the phone log and see what parents, tenants and patients ask most: fee balance, report timing, rent receipt, plan expiry. The top three decide the first three screens.
Resist mirroring the whole system. Nobody wants your menu. They want one number, one PDF or one status, found in two taps from a phone that is not very new.
Start narrow. Adding a screen next term is easy, but removing the fee statement or the lab report page that customers already rely on draws complaints within a day.
- Top calls received each week
- Documents customers ask you to resend
- Dues and balance queries
- Requests that arrive by message
Parents and patients
A parent portal usually shows the fee ledger with dues and receipts, daily attendance, the timetable and circulars. Marks follow once the exam cell approves them, and only the final mark sheet should ever appear. Never a draft.
A patient portal shows appointment slots, itemised bills, prescriptions and lab reports in PDF. Release a histopathology or scan report only after the doctor has reviewed it and decided whether the result needs a conversation first. Some do.
Both audiences involve minors or health data. Use a verified mobile number, a one time code by SMS or WhatsApp, and a log recording who opened which document and when.
Tenants and members
A tenant wants the rent due, the receipt, the lease end date and the plumbing or lift complaint with its status. In an apartment community, add notices and clubhouse bookings. Never show another flat’s dues. Not even as a total.
A chit or gym member wants a statement. For a chit, that means instalments paid, the auction month and the dividend credited; for a gym, plan, expiry date and freeze status.
Offer a downloadable receipt for every payment. It removes the commonest request your front desk gets all month.
- Tenant: dues, receipts, requests
- Society member: notices, bookings
- Chit member: statement, next auction
- Gym member: plan, expiry, freeze
What to keep staff only
Internal notes, discount reasons, waiver approvals and margin figures stay behind the staff login, along with defaulter flags and a doctor’s private comments. A customer who reads them will argue. Hide them.
Keep edit rights tight. A customer may raise a request or update a phone number, with a staff approval step, but should not change amounts or dates.
Review each field once and ask a blunt question: what happens if the customer reads this aloud to the person it concerns?
Rolling it out without flooding the desk
Begin with one group, such as Class 6 or Block C, and watch which questions still reach the front desk by phone. Those calls mark the gaps.
Give a simple login. A phone number with a one time code beats a password nobody remembers. Print the steps on a sheet and keep it at the counter.
Check the access log after a month and drop screens that nobody opens. Give the screens opened daily more care. They now do work your staff once did over the phone, one call at a time.
Portal content decision sheet
Print one sheet with a separate row for parent, patient, tenant and member. Columns list the screens to show, such as fee ledger, lab report or rent receipt, the actions they may request and the fields kept staff only. A last column names who approves each release.

Do small businesses need a customer portal?
Not always. If only a handful of customers ask routine questions, receipts sent by message may be enough. A portal pays off when the same questions arrive daily. Count them first.
How do we protect privacy in a portal?
Verify the mobile number, send one time codes, show a login only its own admission, UHID or flat records, and keep an access log. Release discharge summaries after clinician review.
Can customers edit their own details?
Let them request changes to contact details, with a staff approval step before anything is saved. Amounts, dates and statuses stay with staff.
Should the portal show payment dues?
Yes, with a receipt download. Fee dues, rent dues and instalment balances are the most requested items, and the easiest to publish safely.
