In this guide 6 sections
A school furniture quotation needs one block per school and one line per item. Each line carries size, material, finish, quantity slab, unit rate, delivery date and installation scope. Keep terms for payment, warranty and rejection at the foot so the evaluator finds everything on one page.
Structure the quote around the school, not the product
A tender usually covers many schools with different needs, so give each school its own block with the name, address, contact person and delivery window. Keep the order of schools the same as in the tender document.
Under each block list the sets. A dual desk and bench set for class six differs from a single seat set for class one.
The evaluator comparing five bidders wants to find each school in seconds.
Describe each set with its sizes and build
Name the set and the class range it fits, then give the seat height, desk height, top size and bench length. State the top material, edge banding, frame section and tube wall thickness, and the powder coat or paint finish.
Add a photo or drawing reference. Evaluators reject quotes they cannot match to the specification.
- Set name and class range
- Seat height, desk height, top size
- Top material and edge banding
- Frame tube section and coating
- Drawing or sample reference
Price in quantity slabs
Tenders often reward volume, so show a rate for each slab, such as up to 100 sets, 101 to 500 and above 500. The buyer then sees what consolidating orders across schools is worth.
State what each rate includes: packing, transport to the school gate and unloading. Name anything excluded rather than leaving it implied.
Keep the rate sheet apart from the narrative, so figures can change without rewriting the quote.
Set out delivery and installation school by school
Break delivery into dates per school, ideally outside exam weeks and holidays, and list who assembles, who clears the packing and who signs for the goods. Say whether sets are floor fixed.
Installation scope matters. Say whether broken old furniture is carried away and how the classroom is left once the crew has left, with the floor swept and the cartons gone.
A delivery acknowledgement signed by the principal closes each school.
- Delivery date per school
- Assembly crew and supervisor
- Removal of old furniture
- Principal’s signed receipt
Close with terms an evaluator can check
List the validity of the quote, payment milestones, warranty period and what it covers, and the process for replacing a rejected set. Add past supply references only if you can prove them with a signed letter.
Before submitting, hand the quote to a colleague who did not write it. Ask them to tick every tender clause against it.

Should one quote cover all schools or one per school?
Follow the tender. If it is one consolidated bid, use one document with a block per school. Otherwise submit separate quotes.
How do I handle a sample request?
Quote the sample set separately, mark the sample ready date and keep a record of the approval. Production should match the approved sample.
Do I need a bill of materials for the bid?
Not for submission, but build one internally so your rate covers tube, board, hardware and coating.
