Spreadsheets or Agency Software: Which a Digital Marketing Agency Needs

The short answer

An agency with a few retainers and one account manager can run on spreadsheets. Agency software makes sense once scope, approvals, hours and card recharges must meet on one record. GullySystem’s Digital Marketing Agency Management Software is built around that record. If task tracking is the only gap, a general task tool may be enough.

What spreadsheets do well

A sheet is quick to start and everyone knows it. A content calendar in a sheet works for a few brands. A retainer list with fees and renewal dates fits on one tab.

Sheets also bend easily. A new column needs no training. For a small team with a handful of clients, that flexibility is worth keeping.

Where sheets start to cost money

Trouble starts when scope, delivery and billing live in different files. The proposal says twelve posts. The calendar shows nineteen. Accounts sees neither.

Approvals in chat cause the next problem. A client disputes a creative, and the proof sits deep in a busy group. Boosts paid on the agency card are recharged late, or never.

  • Extra deliverables that never reach the invoice
  • Approvals that cannot be found when disputed
  • Card spend recovered late or missed
  • Reports rebuilt by hand each month
  • No view of which retainer loses money

What agency software adds

Agency software holds each retainer with its promised deliverables and counts delivered work against them. Drafts move through approval with every version and comment kept. Revision rounds used sit beside rounds allowed.

Hours logged against a client show what a retainer costs to serve, which is the number most agencies guess at when the renewal conversation finally comes round. Card spend sits apart from the fee and moves to the next invoice as its own line. Renewal talks then start from a delivery record.

What agency software does not do

It does not judge creative work. It does not set fees or choose which client to keep. Those stay with the founder and account leads.

Channel numbers usually arrive by export, not live. Figures from Google Ads, Meta and GA4 are imported, and an account manager edits the draft report. A direct connection depends on the platform and is scoped separately.

A simple test before choosing

Take last month and answer four questions from your current files. If each answer takes minutes, stay on sheets for now. If answers need three people and an afternoon, the record is the problem.

Also count what you would replace. If only task tracking hurts, a general task tool may be cheaper and enough. If money leaks through scope, recharges and timesheets at once, look at software built for retainers, and ask to see your own kind of month run through it.

  • How many deliverables went out beyond scope?
  • Which drafts still wait for client approval?
  • How much card spend is not yet recharged?
  • Which retainer used more hours than its fee covers?

Retainer health worksheet

A single page for each client listing promised deliverables, delivered count, extras billed, approval delays, hours logged and card spend recharged. Fill it for three clients from your current files. The effort it takes is itself the answer.

Questions owners ask

Does agency software pull live numbers from Google Ads and Meta?

Not by default. Figures are imported from exports or sheets. Any direct connection depends on the platform and is scoped separately.

Should we use a general task tool instead?

If task tracking is the only problem, yes, at lower cost. General task tools do not usually handle retainers, card recharges or Tally.

Will the team have to fill timesheets?

Hours are logged against a client and a task, usually while updating the task. How strictly you ask for it is your decision.

Can it raise the monthly invoice?

Yes. Invoices follow each client’s billing cycle with extra work added. Which GST rate applies to a fee or a pass-through is for your accountant to confirm.
