What the Temple Office Handles Today

Walk into most temple offices and you will find carbon receipt books at the seva counter, a register for pooja bookings and a separate book for donations. The phone rings all day with devotees asking whether a date is free, and hundi counting has its own register. Festival days bring long queues at a counter that can only write so fast.

The trustees then ask for a monthly statement, and someone spends days adding up receipt books. Devotees abroad ask whether they can book a seva for a parent’s nakshatra. None of this is unusual, and none of it needs expensive software, but it does need the records in one place.

Seva and Pooja Booking at the Counter and Online

Start with a seva list: each seva’s name, amount, timing, daily limit, and the details the priest needs, such as the devotee’s name, gotra and nakshatra. Recurring sevas matter a lot. A family that books an annual pooja on a parent’s nakshatra expects the temple to remember it every year.

Online seva booking should draw from the same daily limits as the counter, so a slot sold on the website cannot also be sold at the window. Devotees pick a date and slot and enter their details, then pay once the office confirms the request. If you post prasadam, the booking should capture the address and let the office track what was sent.

Donations, 80G Receipts and Foreign Contributions

Donations come in many forms: general donations, annadana, a building fund, and gifts in kind such as gold, silver or rice. Each needs a numbered receipt, and cancellations should need a second person’s approval. If your trust holds 80G approval, print the approval details on the receipt and collect donor PAN for the yearly statement of donations the trust files.

Foreign contributions need care. A trust can accept them only with FCRA registration or prior permission, so a donation page open to the world needs a check before payment. Gifts from Indian citizens abroad, from their own savings through normal banking channels, are not foreign contribution, but gifts from foreign nationals, including OCI cardholders, are.

Devotees, Events and the Temple Website

A devotee register linked to bookings and donations lets the office send reminders for annual sevas and festival notices. Keep it simple: name, family members, contact details and any recurring seva dates. Devotees did not give their details for marketing, so use them only for temple communication.

Events such as a brahmotsava need volunteer rosters, special seva slots and a donation drive with its own receipts. The temple website should show timings, the seva list with amounts, festival dates and the online booking link. A live darshan link is welcome, but timings and the booking page do most of the work.

Keep Temple Management Software Simple for the Office

Counter staff should be able to issue a receipt in a few taps, including on the busiest festival day, and print or share it. They should not be able to delete a receipt. Each day should close with a cash count matched to the receipts issued at that counter.

Frequently asked questions

Can devotees book a seva online and pay by UPI?

Yes, for the sevas you open to online booking. The devotee picks the date and slot and enters gothra, nakshatra and sankalpa, and the request reaches the office to confirm. Payment is then recorded against the booking, and the same daily limits apply online and at the counter, so the temple never overbooks.

Can temple management software issue 80G donation receipts?

Yes, if your trust holds 80G approval. The receipt carries the approval details and the donor’s PAN, and the software can prepare the data for the yearly statement of donations. The Income-tax Act, 2025 replaced the 1961 Act from 1 April 2026, so have your auditor check the wording and form references once before go-live.

Can we accept donations from devotees living abroad?

It depends on who is giving. Indian citizens living abroad who give from their own savings are not treated as foreign contributors, while foreign nationals and OCI cardholders are, and need FCRA registration or prior permission. Have the donation page ask about citizenship before payment, and agree the rule with your auditor.
