A weekly PDF suits partners who only need a summary and decide slowly. A live phone view suits partners who approve payments, watch stock or chase dues. Compare them on freshness, who can approve from abroad and how many follow up calls each one removes.
What a weekly PDF does well
It is simple. The file lands on WhatsApp or email, opens on any handset, needs no password and can reach an auditor, a banker or a nervous cousin with one tap.
It also freezes a moment. Last Friday stays last Friday. That helps when a partner lines this week’s stock value up against the week before and wants no argument about which figure was current.
The cost sits behind it. A clerk in Kochi or Kozhikode pulls figures from the stock register, the ledger and the dues list. Then comes the template, the export and the send. All before the weekend.
- Opens on any phone
- Easy to forward and file
- Frozen snapshot for comparison
- Needs a person to build it each week
Where the PDF falls behind
By Monday it is stale. Old news. A container may have cleared customs. A buyer may have cleared a cheque. Someone in Dubai reads a stock figure that no longer exists, then plans a purchase on it.
The PDF cannot answer a follow up. Seeing a high dues figure, the reader phones to ask which wholesaler owes it. A clerk opens the ledger and reads out names, invoice numbers and due dates.
Each call costs the caller patience. It costs the office an hour. Count them across a month and the calls often outnumber the reports, which means the PDF created more work than it saved.
What a live phone view adds
It reads from the same stock and accounts data the office uses. Open it at noon in Doha and you see noon in Kochi. Tap a dues figure and the list opens, showing wholesalers, invoice dates and thirty, sixty and ninety day ageing buckets.
Screens follow roles. Partners see dues, landed stock value and bank balances. A branch manager sees one branch. A junior accountant sees entries but never partner drawings.
Nobody builds the report. It exists whenever someone opens it, even late on a Friday night when the clerk has gone home and the shop shutters are down.
- Stock and dues as of now
- Tap through to customer and invoice
- Different screens by role
- No weekly building by staff
Approving a payment from abroad
This is the sharpest difference. Under the PDF routine, approval is a WhatsApp reply typed in a hurry. The office then pays against a message with no invoice attached and no timestamp worth trusting.
A live view can hold the payment in a queue. The approver sees supplier, invoice, amount and due date, then taps approve. The entry records who approved it and when.
Set limits. Keep them plain. A small supplier payment can wait for one partner. A larger transfer to a supplier in Guangzhou needs two. The rule lives in the system, not in somebody’s memory.
Choosing, and how to test it
Tally your follow up calls for one month. Note the caller and the question. Do not guess. If most are about stock, dues or pending payments, a live view will remove them.
If your partners want a quiet summary and rarely act on it, keep the PDF. Some firms generate the Friday file from the live data and keep both.
Try one partner and one report for a fortnight. At the end, ask how many times they phoned the office.
Partner reporting comparison sheet
Worksheet with two columns, weekly PDF and live phone view. Rows cover the age of the stock figure, the age of the dues figure, who approves a payment and the proof left behind. Two more rows count follow up calls per month and staff hours to prepare. Fill it from your own last month.

Is a live phone view safe for partners abroad?
It can be, with a named login for each partner, role based screens and a record of who opened what. Ask the vendor how logins and access logs work before agreeing.
Can we keep sending the weekly PDF?
Yes. Many firms generate the PDF from the same live data, so the Friday snapshot and the daily view always agree.
What if internet access in the Gulf is slow or blocked?
Ask for a view that loads lightly on a normal mobile connection. Test it from the partner’s own phone and network, not from the office.
Who approves when partners disagree?
Set the rule in advance, such as two approvals above an agreed amount. The system holds the queue until the rule is met.
