Why charges from the restaurant and spa miss the guest bill

The short answer

Outlet charges miss the guest folio because the chit travels by hand and reaches the front desk after checkout. Paper slips get lost, misread or posted to the wrong room. Posting from the outlet counter straight to the room folio removes the courier.

Follow one charge from the table to the folio

A guest signs a bill at the restaurant and says room 214, so the captain writes that number on a paper chit before the table is cleared. Now the chit starts walking.

A runner carries the chit to the front desk once the outlet closes, and only then does a clerk key the amount into the folio. That is four hand-offs for one dinner. Most of them fail without a sound. Trace one real charge on your property and write down the time at each step, plus which captain, runner or clerk held the slip. Then the delay becomes visible. After that, you can fix it.

Know the places where posting breaks

Spa slips are the worst offenders. The therapist finishes at eight in the evening, and the slip sits in the till drawer until the outlet cashes up the next day.

By then the guest has checked out with a clean bill, and nobody on the morning shift at the front desk notices that a spa treatment went unbilled. Room numbers go wrong too. A bad scrawl turns 214 into 274, and the charge lands on a stranger who disputes it at the desk the next day. Shared tabs add trouble. A family splitting dinner across two rooms leaves the clerk guessing which part belongs on which folio, and nobody checks that guess later.

  • Slips left in the outlet till at shift end
  • Handwritten room numbers read wrongly
  • Charges for guests who already checked out
  • Split bills between two rooms
  • Discounts approved but not marked on the slip

Count what the gap costs

Every miss costs you. Count the outlet bills marked room last month, then count how many reached a folio, and the difference between the two numbers is your leak.

Disputes cost more than the bill itself. A duty manager spends twenty minutes at the desk with a tired guest, and the next review mentions the argument rather than the dinner.

Late charges muddy the books too. Food sales land in one month while the room posting that should match them lands in the next, and the accountant must explain the difference.

Post from the counter straight to the folio

With counter to folio posting, the outlet terminal asks for a room number and shows the in-house guest’s name for the captain to confirm aloud. The charge lands in seconds. No runner is needed.

A checked-out guest cannot be selected. A guest over the card pre-authorisation limit triggers a warning on the screen, and a split bill takes two lines instead of a mental sum. Voids need a reason and an approver. Spa, laundry, minibar and room service can share this posting path, so the folio already holds everything the guest bought when the guest walks to the desk to leave.

  • Room picker showing the guest name
  • Block on checked out rooms
  • Credit limit warning
  • Split between folios
  • Void with a reason and approver

Close the loop every night

Before night audit, compare each outlet’s closing report with the amounts posted to folios, then list every charge marked room that has no matching line.

Each outlet manager gets the list the next morning and chases the missing signature, corrects the room, or moves the bill to cash.

This week, check yesterday’s three largest room charges against their folios, and write down how long each one took to reach the desk.

Outlet to folio reconciliation sheet

A nightly sheet with one line per outlet charge marked room, with columns for outlet, bill number, time, room, amount, posted yes or no, and the reason if not. A last column names the person who fixes it, and a footer totals the unposted amount for each outlet.

Questions owners ask

Can paper chits still be used with a posting system?

Yes, as a backup when the system is down. Enter them within the hour and mark them as late.

Who should be allowed to void a posted charge?

A duty manager, with a written reason. The folio should keep the original line next to the reversal.

What if the outlet and the hotel use different systems?

Ask for an interface that posts charges to the folio. Without one, keep a nightly reconciliation to catch the gaps.

How do we handle charges after checkout?

Keep a late charge route with the guest’s card authorisation on file, and tell the guest at checkout which outlets may still bill.
