Why purchase bills do not match portal data for input credit

The short answer

A bill misses the portal when the supplier has not filed, the invoice number was mistyped, the wrong branch GSTIN was used, or the bill fell in another period. Credit notes add a fifth cause. Keep GSTIN, number, date and tax in separate fields, and the register turns the chase into a short list grouped by supplier.

Start with who has not filed

Open the GSTR-2B for the month beside your purchase register, then mark each absent bill, because the largest group of misses is usually not your error. The supplier has not filed. No return went up. So the bill never reached your portal.

Nothing you key in will fix that. Credit waits until the supplier files, and only the supplier can release it, however many times your team rings the accounts desk.

Sort the unmatched lines by supplier and count them, because a supplier with eight open bills needs one phone call, not eight reminders from three people. One call beats eight.

Typing slips that break a match

The portal compares invoice numbers exactly as typed, so a dropped leading zero, a slash keyed as a hyphen or an O for a zero hides a good bill.

Dates cause the same trouble. A bill dated the 31st by the supplier but entered on the 1st by your clerk drops into the wrong month, and the credit moves with it.

Copy the number from the printed invoice. Do not tidy it either.

  • Leading zeros and suffix letters dropped
  • Slash, hyphen and space treated alike
  • Invoice date taken from receiving date
  • Supplier GSTIN picked from an old record
  • Debit note entered as ordinary invoice

Branch GSTIN, period and rounding differences

A three-state company may get a bill raised on the head office GSTIN while the goods reach a branch, so credit sits under the wrong registration. The branch shows a gap.

Period slips are quieter. A bill dated at month end may be filed by the supplier a month later, so it shows in the next GSTR-2B while your register books it early.

Rounding differences are small. Set a tolerance on the tax lines and treat anything inside it as matched, so the exception list holds only real breaks that a person must open and read.

Credit notes and returns that never arrive

A supplier issues a credit note against a rejected lot of castings, you post it and it reaches the portal a month later or not at all. Your net purchases and theirs then disagree.

Match each credit note to the original invoice number rather than the party alone, because only that link shows which bill was cut and by how much. Party totals hide the break.

Turn the monthly chase into a list

A purchase register that stores GSTIN, invoice number, date, taxable value, tax split and document type in separate fields can be matched against the portal download line by line. You get three lists, not PDFs.

Each supplier then receives one message. It names the exact invoices outstanding.

Keep a note of every supplier who files late and review it before the next payment run, holding payment on open bills only where your purchase terms allow it.

  • Matched, with no action
  • Mismatched, with a reason code
  • Missing from portal, grouped by supplier
  • Credit notes pending against named invoices

Input credit mismatch tracker

Every unmatched bill is entered as a separate row on this single-sheet tracker, so nothing hides inside a bulk figure at month end. Columns hold supplier, GSTIN, invoice number, date, taxable value, tax, reason code (unfiled, typo, wrong GSTIN, period, rounding, credit note), date chased and status. A footer totals open bills by supplier.

Questions owners ask

Why is a bill in my books but not in GSTR-2B?

Most often the supplier has not filed yet. Beyond that, look for a mistyped number, the wrong GSTIN, or a bill filed in a later period that your register booked a month earlier. Check the filing first.

Can I take credit on a bill that does not show in the portal?

The answer depends on current rules. Ask your CA before claiming it, and keep the bill on the open list, with the supplier named and the chase date noted, until it appears in the portal.

How do I deal with small rounding differences?

Set a tolerance in the matching step, so a difference below that limit counts as matched and never reaches the reason list. Larger gaps go there.

Who should chase the supplier?

The accounts executive should own it, sending each supplier one message that lists every open invoice by number, date and taxable value, so reminders never overlap. The register builds that list.
