Vikasa RDO closed the gaps Excel left in SHG loan recovery.

Vikasa RDO arranges SBI loans for Self Help Groups and collects the repayments each month. That's other people's money, handled on spreadsheets — and money went missing. We built something where every proposal, every repayment and every commission has a name attached to it.

The problem

Holding other people's repayments in a spreadsheet isn't really a technology problem — it's a control problem. Here's what it actually produced.

Financial irregularities

With nothing to check against, false loan applications and misused recovery funds weren't just possible — they happened.

Recovery funds misappropriated

Money collected on the bank's behalf was taken by staff. Real losses, and a mess to untangle afterwards.

Error-prone loan records

Member assignments and loan records drifted out of sync, so when someone changed roles the handover was guesswork.

Slow, manual proposals

Building a proposal by hand took hours, and one wrong figure could get the whole thing rejected.

Recovery tracked in sheets

Tracking repayments across years in a spreadsheet is heavy work, and it drifts further from the truth the longer it runs.

No real-time position

Nobody could answer "where do we stand today?" without first spending an afternoon adding things up.

Coordination over WhatsApp

Salaries, tasks and day-to-day coordination happened over WhatsApp, where nothing leaves a record.

Limited accountability

When something went wrong it was genuinely hard to say who was responsible — which is its own kind of risk.

What we built

We built around the real loan lifecycle — from a group's first proposal to the last instalment recovered — and made sure every step along the way has a person's name on it.

User management

Who can see and change what is set deliberately. That's the foundation everything else rests on.

SHG data management

Every group's details in one place, rather than scattered across whoever's laptop.

Member data management

Each member's details and payment history sit against their group, where you'd expect to find them.

Proposal management

Creating, submitting, sanctioning and disbursing a proposal follow one path, so nothing gets lost between steps.

Loan data management

One record per loan, from approval to final repayment — no separate sheet for each stage.

Recovery management

Collections are dated and recorded, so what was owed and what actually arrived are both visible side by side.

Commission management

The commission VRDO earns is calculated, not estimated at the end of the quarter.

Accounts and salaries

Salaries and accounting sit in the same system as the money they relate to, instead of a separate book.

Reports and analytics

Reports come from live data, which is what makes a decision defensible when someone asks.

Performance and tasks

Daily work is planned and reviewed in one place, so people know what's expected and can show what they did.

The result

Malpractice was designed out

The irregularities relied on nobody being able to check. Once everything was recorded, that stopped being true.

Manual work fell away

The repetitive work got automated, which cut both the hours and the mistakes.

The loan cycle got shorter

Proposal to sanction to disbursement to recovery moved faster once it stopped being four disconnected jobs.

Financial control improved

Salaries, commissions and accounts stopped being three separate conversations.

Decisions had evidence

Decisions started coming from reports rather than from what someone remembered.

When you're holding money for Self Help Groups and a bank, being faster is nice. Being able to show exactly where every rupee went is the thing that actually matters.
