Requirements checklist

What to ask for when choosing software for computer repair shops.

A checklist built from how computer repair shops work, to print or save as a PDF and bring to any supplier meeting.

Share your requirements

What the software should cover

Tick each one that matters to your business.

  • Device intake and condition check
  • Diagnosis and repair quotes
  • Parts stock and special orders
  • Bench queue and technician notes
  • Data backup and handover record
  • Status messages to customers
  • Repair warranty and returns

Roles that need their own access

Who logs in, and what each person may see or change.

  • For owners
  • For counter staff
  • For technicians
  • For buyers and stock keepers
  • For business account managers

Reports to ask for

Ask to see each one with your own sample data.

  • Devices on the bench by technician and age
  • Quotes sent, approved, declined and lapsed
  • Parts used per ticket and parts cost against billed
  • Devices ready but not collected, oldest first
  • Repeat faults inside warranty by part and technician
  • Backup and reimage records by ticket
  • Unpaid pickups by customer

Systems it may need to connect to

Note which ones you already run.

  • SMS
  • Email
  • WhatsApp and other messaging
  • Barcode and tag printers
  • Card payment terminal
  • Supplier price lists
  • Accounting export

Questions for any vendor

Put these to every supplier you are comparing.

  • Does each device get its own ticket number?
  • Can a customer approve a quote by message?
  • How is data backup recorded?
  • Is a part order linked to a device?
  • Does a technician see only their own devices?
  • Does it track repair warranty?
  • Can we take card payments at pickup?
  • What about devices nobody collects?
  • How do we see what it would cost?
  • Can the records be exported?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Devices lose their paperwork
  • Customer approval is not on record
  • Data backups are assumed
  • Parts wait unnoticed
  • Warranty on a repair is hard to prove
