What to ask for when choosing software for farm equipment dealers.

A checklist built from how farm equipment dealers work, to print or save as a PDF and bring to any supplier meeting.

Share your requirements

What the software should cover

Tick each one that matters to your business.

  • Machine stock by serial number
  • Quotes with implements and attachments
  • Trade-ins and used equipment
  • Demo machines and farm loans
  • Parts counter and seasonal stock
  • Workshop and field service calls
  • Warranty and financing records

Roles that need their own access

Who logs in, and what each person may see or change.

  • For the dealer principal
  • For salespeople
  • For parts counter staff
  • For workshop managers and field technicians
  • For accounts staff

Reports to ask for

Ask to see each one with your own sample data.

  • Machines in stock by model, hours and age
  • Demo machines on loan and days out
  • Trade-ins valued against price achieved
  • Parts sold per week against earlier seasons
  • Field calls by fault type and response
  • Warranty claims raised and paid
  • Hire days and invoices by machine

Systems it may need to connect to

Note which ones you already run.

  • Manufacturer ordering and warranty portals
  • Lender and finance partner exports
  • Accounting software export
  • Telematics data from machines
  • SMS or messaging
  • Email

Questions for any vendor

Put these to every supplier you are comparing.

  • Can one quote include a tractor and its implements?
  • How does it help ahead of planting and harvest?
  • Will our service technicians use it out on the farm?
  • How are demo machines tracked?
  • Can it value a trade-in?
  • Does it keep finance details for each sale?
  • Can it record telematics hours from machines?
  • Can we hire out equipment too?
  • How does our existing stock and service data get in?
  • How is a dealership priced?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Implements are not tied to the tractor
  • Trade-in values are guesses
  • Parts run out at the wrong week
  • Field calls are dispatched by phone
  • Warranty claims miss the hours
