Contractor and Site Register for Material Yards

The register holds each contractor with their sites, the engineer or supervisor at each, the delivery address and who may sign for a load. Orders, challans and ledgers all read from it.

One contractor, several sites

A contractor who buys on credit often runs more than one job at a time. Each job has its own address, its own site staff and its own run of deliveries. The register keeps the contractor as one record with the sites listed beneath it. Everything else in the system points back to that record, so a change is made once.

What the register records

Contractor details

Name, contact and billing details are held once. The credit limit and the outstanding are shown from the same record when an order is taken.

Sites under the contractor

Each site is listed with its own delivery address. Orders, challans and bills are booked against a site and not only against the contractor.

Engineer or supervisor at each site

The person who manages the job is recorded against it. The counter knows whom to call when a load is on its way.

Who may sign for a load

Names of people allowed to sign the challan are held for each site. The signed copy that returns can be read against that list.

Balances brought forward

Contractors, sites and opening dues are brought in from Tally or Excel before go-live, so the register starts with live accounts.

Where the register is used

On the order screen the clerk picks the contractor and then the site. A challan carries the site address, and the driver app shows the same site name, so the load and the person waiting for it are matched. Ledgers and ageing are read site by site.

  • Order booking against a contractor and a site
  • Delivery address printed on the challan
  • Outstanding by contractor and by site
  • Signing names checked against the returned challan

What the client decides

The fields kept for each contractor and site are set with the yard owner when the work is scoped. Which people are listed as signatories is the yard’s decision. Nothing is verified with any outside body.

FAQ

Frequently asked questions

Can one contractor have many sites?

Yes. Each site is listed under the contractor with its own address and site staff, and bills and balances are tracked per site.

Is a site engineer’s phone number stored?

Yes. The engineer or supervisor at each site is recorded against it, and the exact details held are agreed with the yard during implementation.

How do existing contractors get in?

Contractor lists, sites and dues are brought in from Tally or a spreadsheet before go-live. A few large contractors are checked line by line.

Does it check who signed the challan?

In part. The names allowed to sign are recorded for each site, and the office reads the photographed challan against them. There is no automatic signature matching.
