Order Booking at the Counter for Material Yards

Order booking takes material, quantity, rate, site and delivery slot against a contractor, from a call or message at the counter. The contractor’s limit and outstanding appear on the same screen.

Orders taken by phone and message

Most orders in a material yard arrive as a call or a message. The clerk enters what was asked for while the contractor is still on the line, and the order can be saved against the right site straight away. One screen holds the contractor, the site, the material and the delivery slot together. Nothing is added later.

What an order carries

Contractor and site

Booking is made against a contractor and one of that contractor’s sites. The delivery address comes from the register, so nobody retypes it.

Material and quantity

Cement is chosen by brand and grade, steel by diameter, and sand and aggregate by load. Names are those the yard already uses.

The rate that applies

The rate is taken from the dated rate list. The quotation, if one exists, shows which list it was built from.

Delivery slot

A slot is recorded with each order, so the yard supervisor can plan the loading list by lorry and trip for the day ahead.

Limit and outstanding

The contractor’s credit limit and current outstanding show while the order is taken. An order past the limit is held for the owner to release.

From order to challan

The yard loads against the order and raises the challan. If only part of the quantity goes, the balance stays open on the order for a second trip. Orders waiting on approval are listed for the owner.

  • Orders waiting for release by the owner
  • Loads planned by day, lorry and trip
  • Part loads still open against orders
  • Orders booked by contractor and site

What stays with the yard

Order booking records and holds orders. It does not decide who gets credit, and it does not set rates. The owner chooses when to release a held order, and rates are entered by the yard before orders follow them.

FAQ

Frequently asked questions

Can an order be taken from a message?

Yes. The clerk enters the order at the counter from a call or message. There is no automatic reading of messages into orders.

What happens when a contractor is over the limit?

The order is held until the owner releases it. The release is recorded, so the decision can be traced later.

Can one order be delivered in two trips?

Yes. A part load leaves the balance quantity open on the order, and the second trip is planned from the pending list.

Does it quote rates as well?

Yes. A quotation is built from the dated rate list and states which list it used. The order can then be booked against that quotation.
