Views by Role for Building Material Traders
The system shows each person at a building material yard the screen their job needs. Owners, counter clerks, yard supervisors, drivers and accounts assistants all work from the same records.
One yard, five kinds of work
A yard that sells on credit and delivers by lorry splits its work across several people. The counter takes orders, the yard loads, the driver delivers and accounts collects. The owner watches the money. Each of them reads and writes a different part of the same record, so nobody has to work from a private copy.
What each role sees
How the work passes along
An order booked at the counter becomes a loading list for the supervisor. The challan goes out with the driver, and the photographed copy comes back to the office as proof. The invoice is built from what was delivered. Accounts then records the receipts, and the collection list opens oldest first.
- Counter clerk books the order against a site
- Yard supervisor loads and raises the challan
- Driver photographs the signed challan
- Accounts records receipts and credit notes
What the client sets
Which screens each person opens, and what they may change, is fixed with the yard owner before anyone is given a login. Counter staff, yard supervisors and accounts are trained on their own screens. A role is a set of screens, not a separate copy of the data. Everyone reads one record.
Frequently asked questions
Does the owner see everything?
The owner sees the picture for the yard: outstanding, overdue, loads and orders waiting. Exactly which screens are open to whom is agreed during implementation.
Can a counter clerk release an order held over the limit?
No. Held orders wait for the owner to release them, and the release is recorded.
Do drivers need training?
Briefly. Their screen is a trip, a site name and a camera. Where a driver cannot manage it, the yard supervisor closes the challan from the office.
Is there a separate screen for accounts?
Yes. Accounts works from receipts, credit notes and the monthly GST file, and is trained on that screen.
