Views by Role for CA Firm Teams
A CA firm has partners, managers, articles, office staff and clients, and each needs a different view of the same work. This page sets out what each role sees and does.
One record, several views
The system holds one list of clients, filings and fees, and each role opens it for a different purpose. A partner looks for what is stuck across the firm, while an article assistant looks for the jobs assigned to them this week. Clients see only the papers and bills that concern them.
Inside the firm
Outside the firm
Clients upload requested papers and see what is pending from their side, and their view is limited to their own requests, filings and bills. They do not see any other client. Whether a client is invited at all is the firm’s decision.
How the job moves between roles
A filing passes through several hands before it is closed.
- Onboarding records the client, services and fee in one master
- Jobs for the year are raised, each with a preparer and a reviewer
- The job moves from pending to in progress to review
- The manager returns it with a query or passes it to the partner
- After filing, the acknowledgement and filed copy are stored on the job
What the firm decides
Which rights each role holds, and which staff may open which client, is agreed with the firm during implementation, and fee figures can be limited to chosen roles. The system records who prepared and reviewed each job. Responsibilities are the firm’s to assign.
Frequently asked questions
Can an article assistant see every client in the firm?
Not unless the firm decides so. Article assistants see the jobs assigned to them, and access can be set client by client where needed, for example for related-party work.
Do partners have a view that managers lack?
Yes. Partners see due dates across every client, stuck work and fee positions, and they sign off jobs before filing.
Can office staff see client papers?
That is set with the firm. Office staff maintain masters, bills and receipts, and what else they open is agreed during implementation.
What does a client see?
Only their own requested papers, pending items, filings and bills. No other client is ever shown to them.
