Chit Fund Audit Log and Approvals

The audit log keeps a record of auction results, collections, security approvals, payout releases and subscriber removals. Each entry shows the user, the time and what changed.

What gets logged

Auction results

The winning ticket, the bid and the approver are logged when a result is recorded.

Collections

Every payment recorded is logged with the staff member or agent who took it.

Security approvals

Marking a prized ticket’s security as verified is logged against the person who marked it.

Payout releases

The release of a payout is logged with the date and the user, after security approval.

Subscriber removals

A subscriber can be removed only while the group is filling. The removal is logged.

Why owners read it

An owner can ask who approved a given auction or a given payout, and the log answers with a name and a time. Because security approval and release are both logged, the order of events is on record. That helps when an auditor asks how a decision was reached.

Who reads the log

  • Foremen and managing directors review approvals and releases
  • Office staff can see what was changed on a record
  • Owners use it to trace who handled an auction or payout

What the log does not do

The log records. It does not judge whether a decision was right, and it does not make a company compliant with any law, because your auditor and lawyer decide what the law requires. Which further actions are logged is agreed during implementation.

FAQ

Frequently asked questions

What does an audit log entry contain?

The user, the time and what changed. Entries are made for auction results, collections, security approvals, payout releases and subscriber removals.

Can we see who released a payout?

Yes. The release is logged with the date and the user, alongside the security approval that came before it.

Does the log make us compliant with the Chit Funds Act?

No. It keeps a record of who did what. Your auditor and lawyer decide what the law requires.

Can other actions be added to the log?

Yes, for actions the product already handles. Extra entries are scoped with the company during implementation.
