Client Billing and Receipts for Builders

Bills to the client are raised with GST against a stage or a running bill. Receipts are recorded as they arrive, so the amount outstanding for each site stays in view.

Billing the client

A client bill is raised against a billing stage or against a running account bill that has been certified. The stage comes from the site record, with its contract value and planned dates, so nothing is copied by hand when the bill is prepared. GST is shown as the firm’s CA directs. Numbering follows the firm’s own series.

Receipts and what is outstanding

Receipt entry

Money received is posted to the bill it settles, in full or in part, with a UPI or bank transfer reference entered where the firm wants one.

Outstanding per site

Billed less received gives the amount still to come in for each site. An owner or partner can read it for every site together.

Closing a bill

Payment received closes the running bill. Retention then moves to a separate list, where it waits until its agreed release date.

Stage view

Each stage shows the amount billed. A stage that has slipped can be read next to its delay reasons.

Where it connects to the rest

Client billing sits beside the running bills, retention and stage records already held on the site. A certified running bill feeds the client bill, so figures are not typed twice. Retention held by the client appears in the retention list with its agreed release date. Receipts and client bills are also listed for the firm’s accountant.

What the client decides

The GST treatment of a bill is for the firm’s CA to confirm. The bill layout and any terms printed on it are decided with the firm before the first bill is printed. The software does not file returns. It does not chase payment by itself either, although reminders can be sent to WhatsApp from the firm’s own number.

FAQ

Frequently asked questions

Can one bill cover a stage and its running measurements?

A client bill is raised against either a stage or a running bill. How the firm prefers to bill each client is agreed during implementation.

Does it file GST returns?

No. It records GST on the bills raised and lists them for the accountant. Filing stays with the firm and its CA.

Are part payments supported?

Yes. A receipt can settle a bill in part, and the balance stays outstanding for that site until it is received.

Can the owner see outstanding amounts for all sites?

Yes. The running bills report lists amounts raised, certified and unpaid by client, and the outstanding is also shown site by site.
