Reports for HR Managers and Business Owners

These reports cover headcount, muster, overtime, leave balances, expiring documents, joiners and leavers, and portal logins. Each is read from the live employee records.

Questions HR is asked each month

Owners ask how many people are on the roll and which overtime is rising. Managers ask about balances, and HR asks which licences are about to lapse. These answers often sit in attendance sheets, leave registers and folders of papers. Here they are read from one set of records. HR and managers already update that set.

The reports

Headcount

By branch, department and employment type, on a date you pick, so an owner can compare branches or look back to an earlier month.

Monthly muster

Days present, leave, unpaid absence and overtime per person, which is the sheet HR checks before the month is closed.

Overtime hours

Hours past the shift, by shift, supervisor and month, so a rise in overtime on one shift can be traced to the supervisor and the month.

Leave balance statement

For every person, per leave type, as the policy has been applied.

Expiring documents

Documents and licences expiring in the next sixty days, with the person each belongs to.

Joiners and leavers

For the quarter, with reasons for leaving.

Portal logins

Who has logged in to the portal, and who never has.

Who acts on them

Owners read headcount by branch, overtime and expiring licences. HR executives read the muster and the leave statements before the month closes, and they act on the joiners and leavers list each quarter. Reporting managers read their own team’s overtime and leave. Reports follow role.

What the figures reflect

The figures reflect what has been recorded. Attendance must be marked, leave approved and joiners entered for a report to be complete. A report that looks short usually points to a record that has not been updated. Reports beyond this list are scoped in the first workshop, provided the records already carry the fields they need.

FAQ

Frequently asked questions

Are the reports live?

Yes. They draw on live attendance and leave entries, so the figures change as attendance is marked and leave is approved, and no separate export is needed.

Can headcount be shown for an earlier date?

Yes. The headcount report is run on a date you pick, by branch, department and employment type.

Does the muster replace payroll?

No. The monthly muster lists days present, leave, unpaid absence and overtime per person. Salary is calculated in payroll software or by the consultant.

Can managers see reports for other teams?

No. Reports follow the role of the person reading them, so a manager sees their own team without pay details.
