Views by Role in Employee Records Software
HR executives, reporting managers, employees and owners each work from their own view. This page sets out what each role does across joining, attendance, leave, month close, payslips and exit.
Four roles on one record
The product serves the people who handle staff records and the people the records describe. Each role is shown the part of the record it needs. Access follows the roles that the client sets. Every view is logged, and salary details stay visible only to the people the owner names.
What each role does
How the roles meet in the month
What the client decides
- Who holds each role in each branch
- Who is named to see salary details
- Which staff get a portal login
- Who approves requests to change personal details
- Who signs off the month for each team
Frequently asked questions
Can supervisors act for staff who do not use the portal?
Yes. Supervisors can apply for leave on behalf of people who prefer not to log in, and the record still shows who applied and who approved.
Is the owner’s view the same as HR’s?
No. Owners see headcount by branch, overtime and expiring licences. HR works inside the records, attendance and the month close, so the two views differ.
Can one HR executive cover several branches?
Yes. The product suits firms where one HR executive keeps records for staff across two or three branches, with branch access set up as the client wants it.
Where are the rules for each role written down?
The business sets them with the implementation team before go-live. The roles above are the starting point for that discussion.
