Access Control for Employee Records and Salary
Managers see their own teams without pay details. Salary and identity documents stay with HR, accounts and the owner, and every view is logged.
Why access is split by role
An employee record holds personal papers and pay details together. A reporting manager needs the roster and leave for a team and nothing more. Splitting the view by role keeps each person to what their job needs. It also gives the owner a way to name who sees salary.
Who sees what
A log of every view
Every view of a record is logged. If a question arises about who opened a salary field or an identity document, the log shows it. The log is held with the rest of the system data, and it does not replace the client’s own rules on handling personal papers.
What the client decides
- Which people hold each role
- Who is named to see salary fields
- Whether branch heads see only their own branch
- How long exited staff records stay open to HR
- Which identity documents sit with HR alone
Frequently asked questions
Can a manager see an employee’s salary?
No. Managers see their own teams without pay details. Salary stays with the people the owner names.
Is every view of a record logged?
Yes. Views are logged. The client can then see who opened a salary field or an identity document, and when.
Who controls the roles?
The client. Roles and the people holding them are agreed during implementation and can be reviewed afterwards.
Are personal papers protected in storage?
Personal papers and salary fields are access controlled, and the system is cloud hosted with regular backups.
