Enquiries and Their Sources for Event Planners
Every enquiry is held with its date, venue, guest count, budget and source. Each one has an owner and a next follow-up date, so someone is always responsible for the next call.
What an enquiry record holds
From enquiry to quotation
An enquiry is the first record in the workflow. A site visit is attached to it, and the quotation is built from your package and rate card. When the client accepts a quotation, the event is created from it. An enquiry that goes no further is marked closed or lost. Every open one has a next step.
What the sales desk works from
- Enquiries with a follow-up date due today
- Enquiries by owner, for the person who has to call
- Site visits fixed against an enquiry
- Quotations sent and revised for each enquiry
- Quotations won and lost, by enquiry source
What the company decides
The sources worth tracking are the company’s own choice, as are the budget ranges and the people who own enquiries. That is simple to set. Older enquiries kept in Excel or a diary can be brought in during implementation. The company decides how far back that goes when the import is planned.
Frequently asked questions
Can we see which source brings the quotations we win?
Yes. Quotations sent, revised, won and lost are reported by enquiry source, so the figures follow the source recorded on each enquiry.
What happens to an enquiry that does not go ahead?
It is closed or marked lost. Until then it keeps a follow-up date, and the owner is the person who has to act on it.
Is the budget a fixed figure on the enquiry?
No. It is recorded as a budget range, beside the date, the venue and the expected guest count.
Can our existing list of enquiries be moved in?
Yes. They come in from Excel or your diary. The fields carried across are confirmed during implementation.

What happens after you share your requirements
- A senior engineer reads your answers. Nobody phones first.
- Within one business day you get a written note: what we understood, what we would start with, and the questions we still have.
- If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
- No call is booked and nothing is paid until you have read the note. Your details stay with us.
