Packages and Rate Cards for Event Pricing

Packages are priced per plate, per item, per day or per person, with what each one includes written down once. Seasonal and weekend rates can differ from the standard rate.

Four ways to price

Per plate

Catering is commonly priced per plate, so the catering line on a quotation moves up or down whenever the head count on that quotation changes.

Per item

Decor pieces and other items can each carry their own rate, which is multiplied by the number of items that the quotation asks for.

Per day

Staff and functions that run over several days can be priced by the day.

Per person

A service charged by the person has its own rate, separate from the plate rate.

What a package carries

A package states what is included in it, so the same description reaches every quotation that uses it and no inclusion is added from memory. Weekend rates and season rates can sit beside the standard rate. The rate card is the one place where these figures live.

What goes in first

  • Rate cards, packages and what each one includes
  • Weekend and season pricing, where yours differ
  • Vendor and rate lists brought in from Excel
  • Quotation and invoice layouts with your letterhead

What the company decides

The rates, the packages and the discounts are set by the company. The software applies the rate card to the head count that is discussed. It does not choose a price. A line can still be edited by hand on a quotation, which is how a discount is given.

FAQ

Frequently asked questions

Can weekend and season rates sit on the same rate card?

Yes. Seasonal and weekend rates can differ from the standard rate, and they are entered with the rest of the card.

Can our current rate list be imported?

Yes. Rate lists come in from Excel, and the columns are matched to the rate card during implementation.

Do packages also appear on the quotation?

Yes. A quotation is built from the package and rate card, with what each one includes shown on the page.

Who maintains the rate card after launch?

The company does, from its own team. Which person is allowed to change a rate is agreed during implementation.
