Reports for Event and Wedding Companies
These reports cover events by date, quotations, vendor advances, client payments, staff, event results and equipment. Each one is read from the same records that the team updates during the work.
Why the reports sit on one record
Quotations, vendor advances and staff lists are often kept in separate files, and a question about a single event then needs several of them to be joined by hand. Here the enquiry, quotation, vendors, staff and payments belong to the event. The reports read from them directly.
The reports
Who acts on them
The owner reads events by date and what each event made. The sales desk works from quotations by source. Accounts uses vendor advances and client payments, and coordinators read staff deployment before the function. Supervisors record the stock that returns.
What the figures reflect
Each figure comes from entries the team has made. A client payment that is not entered will not reduce the balance shown. Cash spent on the day must be recorded as an event expense, or the event appears to have made more than it did. Other reports can be added wherever the event records carry the figures, and each is scoped separately.
Frequently asked questions
Do the reports show what an event actually made?
Yes. They show what was billed, what vendors and staff cost and what of your own equipment was used. Cash spent on the day has to be entered as an event expense.
Can we see how much is still with vendors?
Yes. The report lists advances paid to each vendor and how much is still to be adjusted against the final bill.
Are the figures live?
Yes. They are read from the live event records, and a new entry appears in them once it is saved.
Can a report outside this list be added?
Yes, if the event records already hold the figures needed. Additional reports are planned with the team once the work is scoped.
