Site Visit Records for Event Planners

A site visit is scheduled against an enquiry and records who went, what was measured and photographs of the hall. These notes feed the quotation that is built afterwards.

A visit belongs to an enquiry

A visit is fixed from the enquiry by the sales desk. Notes and photographs are attached to that same enquiry. Anyone who opens it later sees what was recorded at the hall, and the quotation can then be built from that record. Nothing is left in a notebook.

What a visit record holds

Who went

The people from your side who attended the visit are recorded, with the date.

What was measured

The measurements noted at the hall are kept on the record, so they are not left in a personal notebook.

Photographs of the hall

Photographs are attached to the visit, so decor and seating can be planned against the real space instead of against a description given over the phone.

Link to the quotation

The quotation is built after the visit, at the head count discussed, using the notes on the record.

Where the notes are used

  • Quoting decor and seating for the space as recorded
  • Discussing the hall with the family at the next meeting
  • Checking what was noted when a late change comes in
  • Showing the sales desk what was seen at the hall

What the company decides

Which measurements are noted for each hall is the company’s own practice. The fields on the visit record are agreed during implementation. Which enquiries need a visit is decided by the sales desk.

FAQ

Frequently asked questions

Are photographs kept with the enquiry?

Yes. Photographs of the hall are attached to the visit, which sits against the enquiry, and they are available when the quotation is built.

Is a site visit required for every enquiry?

No. It is a step in the workflow that the sales desk uses where it is needed.

Does the visit record change the price automatically?

No. The notes inform the quotation, and the person building it decides the lines and the figures.

Who can record a visit?

The sales desk fixes the visit. Who enters the notes and photographs is agreed during implementation.
