Fire Safety AMC Contracts and Renewals

Annual contracts with factories, hospitals and housing societies start on different dates. Each one is held with its period, the equipment it covers, the visits promised and its billing.

What a contract holds

Period and scope

Start and end dates, the buildings covered, and whether refilling, routine servicing, breakdown attendance or all three of them are included in the amount agreed.

Equipment covered

The contract points at items in the site register. A cylinder added in mid year can be brought in or kept outside until renewal.

Visits promised

Four quarterly calls, twelve monthly calls, or whatever you sold. Breakdown attendance can be counted on its own.

Rates and instalments

The contract value, how it is billed and when each instalment falls due are recorded for the accounts desk.

Exclusions

Spares, condemned cylinders and major repairs often sit outside the contract value. What is excluded is written in plainly.

Running a live contract

Planned calls appear on the service calendar as soon as the contract begins. Each completed one reduces the number still owed, and breakdown attendance is logged whether or not you charge for it. Spares fitted during a contract visit can be billed separately where your terms allow. Owners read contracts by visits used.

Renewal

The renewal list

Contracts appear well before their end date. Visits used, faults found and amounts collected show beside each building name.

Quoting again

A renewal quotation is raised from the equipment list standing today rather than the list of a year ago, so cylinders added during the year are counted and priced.

Lapsed contracts

A contract past its date stops counting calls. Work at that building is billed per visit until a new contract is signed.

What your company settles

  • Visit counts and rates offered for each kind of building
  • What spares and repairs fall outside the contract value
  • How far ahead a renewal appears on the list
  • Whether breakdown attendance is free or charged per call
FAQ

Frequently asked questions

Can one contract cover several buildings?

Yes. A client with four sites can hold one contract across all of them, and calls are counted per building.

What happens when equipment is added mid contract?

You choose. New cylinders can join the covered list, or stay outside until renewal, and the record shows which.

Are contract instalments invoiced automatically?

Instalments appear as due on their dates, and your accounts staff raise the invoice. Nothing is sent to a client without a person approving it.

Does it calculate the price of a renewal?

No. It brings the current equipment list and the year’s service history together. The price you quote remains your own decision.
