Fire Safety Billing and Client Accounts
Money comes in from supply bills, installation stages, refill charges and contract instalments. Each invoice points back at the work it covers, and every client keeps a running account.
What an invoice is raised against
Receipts and the client account
Payments arrive by bank transfer, UPI, cheque or card, and each receipt is set against the invoices it clears. A corporate client with four buildings reads one account holding every invoice, receipt and credit note raised in the year. Advances taken before an installation begins are adjusted later. Tax deducted at source is recorded for your accountant.
Watching what is owed
What accounting is left outside
- GST rates and classification are confirmed with your accountant
- Return filing happens in your accounting software, not here
- Tax treatment of contracts is a question for your advisers
- An export to Tally is quoted once the ledger layout is settled
Frequently asked questions
Can one client be billed for several buildings together?
Yes. A head office can receive one invoice covering work at many sites, with the building shown against each line.
Are e-invoice and e-way bill covered?
Where they apply to your billing, the work is quoted separately after your accountant confirms what is needed.
How are advances for an installation handled?
An advance is receipted against the project and adjusted as stage invoices are raised, with the balance shown throughout.
Can serials appear on the bill?
Yes. Cylinders supplied, refilled or tested can carry their serial numbers on the invoice, which many factory clients ask for.
Who issues a credit note?
Accounts staff holding that permission. The note links to the original invoice and moves the client balance by that amount.
