Fire Safety Software Views for Owners, Coordinators and Technicians

A fire safety company handles one building through several hands. Every desk and van gets the screens that match its job, with the slice of the site record it is meant to read.

One building, five roles

Owners

Read work booked and completed, contracts nearing their end, cylinders away from site, godown value and money outstanding by client. This is the view for deciding hiring, rates and which buildings are worth keeping.

Service coordinator

Build the week from the due list, allot technicians by area, chase faults still open and tell a client when their call falls due. The screen is made for a desk with a phone ringing.

Technicians

See today’s buildings, the equipment to check at each, and the readings to record. Faults, photographs and the client signature are entered on the phone before leaving.

Workshop and store

Receive cylinders arriving for refilling, record powder filled and test results, send each serial back to the right building and issue spares against projects.

Accounts desk

Raise bills against completed work and contract instalments. Receipts are recorded here, and the ageing list drives collection calls.

Through a working day

A society secretary calls about refilling, and the coordinator records the enquiry with a date for the survey. Two technicians leave with allotted buildings on their phones. The workshop receives a vehicle of cylinders at noon and starts a refill batch. A panel fault at a hospital is logged with a photograph, and the spare is checked in van stock. By evening the owner reads the calls closed and the ones that slipped.

At month end

Contracts ending next month, calls promised against calls given, faults still open and amounts pending land on one owner screen. Technicians can be read by visits completed and sheets signed. The workshop figure for powder filled is compared with powder issued. Your accountant takes the sales and purchase reports from the same records, without asking anybody to retype them.

What the client decides

  • Which roles exist in your office, workshop and field team
  • What each role may raise, approve, revise or cancel
  • Who may discount a quotation or waive a call charge
  • Whether a technician sees client rates and balances
  • Which branch or area each coordinator can open
FAQ

Frequently asked questions

Can a technician see what a client is charged?

That is settled with the owner. Many companies show the field team the work and the equipment, and keep rates with the office.

Do coordinators at two branches see each other’s work?

Only if you want that. Areas can be kept separate, while owners read every branch together and compare them.

Must technicians use a computer at the office?

No. The buildings allotted, the readings and the signature are all handled on a phone at site.

Who changes a role’s access afterwards?

Our team makes that change for you. The first set of permissions is fixed during implementation, and it can be revised later as your team grows.
