Delivery Record for Photography Studios

The delivery record notes what was handed over, on which date and to whom. Reprints and second albums are recorded against the same booking.

What is recorded at handover

The album

The album handed over is recorded with a date and the receiver’s name, so the studio can say later what left and who received it.

Prints, pen drive and gallery link

Each is recorded as delivered on a date. A booking may include all of them or only some, according to the package.

Link expiry

Gallery and download links from the service the studio uses today are recorded against the booking with their expiry, so the date a link stops working is on the booking. No storage is replaced.

The balance

Whatever is still due shows on the delivery screen before handover. Collecting it stays with the person handing over.

Reprints and second albums

A family may ask for a reprint or a second album after delivery. These are recorded against the same booking, so one record holds everything the studio has handed over for that family. Revisions used at the proof stage stay visible beside them. Any extra charge is billed as the studio decides.

Where it sits in the workflow

  • Album stages mark the job as designed, printed and bound
  • Proofs and revisions close when the family approves
  • The delivery record follows the final approval
  • The balance appears before the album is handed over
  • Invoices and receipts stay on the same booking

What it does not do

It does not store the photographs or the album files. It records what was handed over and where the links point, and delivery is entered by a person at handover. The studio decides who may mark a booking as delivered.

FAQ

Frequently asked questions

Can a second album be recorded on the same booking?

Yes. Second albums and reprints are recorded against the original booking with their own dates, so the history stays in one place.

Does it hold the gallery itself?

No. Links from the service the studio uses today are recorded with their expiry. The gallery stays where it is.

Who is shown as receiving the album?

The person who took delivery is named on the record, with the date. The name is entered by whoever hands the album over.

Does it stop delivery when a balance is due?

No. It shows the balance on the delivery screen, so the person handing over knows what is due. Asking for the money remains a person’s job.
