Booking Documents Kept Against the Booking

Booking forms, KYC, allotment letters, agreements and loan papers are stored against the booking they belong to. The project record holds its RERA registration number and approvals.

Papers stay with the booking

Documents for a sale usually arrive in several places: a salesperson’s phone, an email inbox and a file at the site office. Here they are attached to the booking record. Whoever opens that booking sees the same set. Search starts from the buyer, not from a mailbox.

What is stored

Booking form and KYC

The signed booking form and the identity papers collected for the buyer and the co-applicant sit on the record.

Allotment letter and agreement

Signed copies are stored against the booking once they exist. The formats themselves stay with whoever prepares them today.

Loan papers

Papers connected with a buyer’s home loan are kept beside the rest, so CRM and accounts staff do not chase them across inboxes.

Project registration and approvals

The project’s RERA registration number and its approvals are held on the project record, and every booking in that project sits under it.

Who works with them

CRM and accounts executives manage bookings after the token, so they add and check most of these papers. Salespeople see the booking for their own buyers. Owners and sales heads can open a booking when a question reaches them. What each role may open is agreed during implementation.

What it does not do

  • It does not draft the agreement or the allotment letter
  • It does not check whether a document is legally valid
  • It does not make a project RERA compliant
  • It records the number and papers that your team enters
  • Retention and sharing rules are decided by the client
FAQ

Frequently asked questions

Which documents can be attached to a booking?

Booking forms, KYC, allotment letters, agreements and loan papers. Any other paper the office wants kept is added to the list at set-up.

Is the RERA number kept on each booking?

No. It is held once on the project record, and bookings in that project sit under it. Your team enters the number and approvals.

Does it generate the agreement for sale?

No. The agreement is prepared as it is today. The signed copy is stored against the booking so that it can be found from one record.

Can old booking files be loaded?

Bookings and payment status are imported from Excel before go-live. How existing scanned papers are attached is decided with the office before launch.
