Logins and Permissions for Travel Desks
Each executive has a login and sees their own files and those shared with them. Costing, margin and supplier rates are shown only to the people the agency decides.
Who sees which file
Every consultant works from a personal login. Their own enquiries and trip files open first, and files shared by a colleague appear beside them. A file the executive is not working on stays closed. That limits who can reach passport and identity papers, and it keeps one desk out of another’s clients.

Roles used at most desks
- Owners review enquiries, confirmed files, supplier dues and profit on each file
- Travel consultants work their own enquiries, costing and quotations
- Operations executives raise bookings, record confirmations and send vouchers
- Accounts assistants handle advances, balances, supplier payments and corporate ageing
What the agency sets
The roles above are a starting point and not a fixed rule. Which person sees margin, who may resend a voucher and who can change a rate list are agreed with the agency during implementation. Rules change later on request. Leavers lose access at once. The agency names who closes it.
Frequently asked questions
Can a consultant see another consultant’s clients?
Only where the file has been shared with them. Otherwise each executive sees their own enquiries and trip files.
Can margin be hidden from the desk?
Yes. Costing, margin and supplier rates can be limited to the people you decide, while the selling price stays visible to the desk.
Who can resend a voucher?
Anyone at the desk with access to that file can resend it. Who holds that access is agreed with the agency during set-up.
Is a separate login needed for each person?
Yes. Each person has their own login, so the file shows who made each entry.
