Reports for Travel Agency Owners and Accounts

These reports are read from the trip files the desk already keeps. They cover enquiries, quotations, balances, supplier dues, refunds, corporate receivables and profit on each file.

Reports from the trip file

An agency often tracks enquiries in one place, balances in another and refunds in a spreadsheet. Here each of those sits on the same file. The reports read what the desk has entered, so a question from the owner can be answered without joining sheets by hand.

The reports

Enquiries by source

Website, portal, WhatsApp and walk-in enquiries, and what came of each.

Files quoted, confirmed and lost

Balances due before departure

Supplier dues

What is owed to each hotel, transporter and consolidator, by file and due date.

Refunds applied for

Cancellations where the money has not yet been credited.

Corporate receivables

Outstanding bills by client with ageing.

Profit per file

Shown once the last supplier bill is in.

Who acts on them

Owners read enquiries by source, files confirmed and profit. Operations work from supplier dues and the day’s departures. Accounts works from balances, corporate ageing and the month-end spreadsheet for the auditor. Each report is read by the person who acts on it.

What the figures reflect

The numbers come only from what the desk has entered on the trip files. Profit on a file is only complete after the last supplier bill is entered, and a refund appears as pending until it is marked as credited. A report that looks short usually points to an entry that has not been made yet.

FAQ

Frequently asked questions

When does profit per file become final?

Once the last supplier bill is entered. Until then the file shows what has been recorded so far.

Does it replace the accountant’s books?

No. Invoices, supplier bills and receipts come out as a spreadsheet for the accountant, and the books are kept where the agency keeps them today.

Can reports beyond this list be added?

Yes, wherever the trip files carry the details. Further reports are settled with the agency in the first workshop.

Can a consultant see only their own enquiries?

Yes. Each report is limited by the reader’s role, so a consultant sees their own work.
