Views by Role for Travel Agency Teams

A travel desk is worked by several people on the same trip file. Owners, consultants, operations executives and accounts assistants each open the part of it that they act on.

One trip file, four working views

A trip moves from enquiry and costing to confirmation, travel and settlement. Different people handle each step. The file holds all of it, and each role opens the screens that match its work. Nobody has to ask another desk for a copy of the itinerary or the balance.

What each role sees

Owners

Enquiries by source and outcome, files confirmed this month, balances due before departure, supplier dues and profit on each file.

Travel consultants

Their own enquiries with the next follow-up first, the costing sheet and a quotation that can be revised without rebuilding.

Operations executives

Bookings to raise, confirmations to record, vouchers to send and the day’s departures.

Accounts assistants

Advances received, balances due, supplier payments, corporate ageing and a spreadsheet for the auditor at month end.

Who this suits

The software is built for travel agencies selling holiday packages and ticketing to corporate clients. It also suits tour operators who cost custom family trips one at a time, and desks that book through consolidators, DMCs and local agents. Agencies that handle visa papers and insurance alongside bookings use the same file for those papers.

What each person is not shown

A role does not have to see everything. Costing, margin and supplier rates can be kept to the people you decide, and traveller documents open only to executives on that file. Where each line is drawn is agreed with the agency during implementation.

FAQ

Frequently asked questions

Can one person hold more than one role?

Yes. In a small agency an owner may also act as a consultant, and the access follows what that person is given.

Do operations executives see the margin?

Only if the agency chooses to show it. Margin can be limited to the owner and a few named people.

Where does an accounts assistant start the day?

With advances received, balances falling due and supplier payments, all read from the trip files.

Can a consultant open a colleague’s file?

Where the file is shared with them. Sharing rules are set with the agency during implementation.
