AMC Management Software for Service Reminders and Renewals

By Ganesh HS, Strategy and Technology, GullySystem

AMC management software keeps every contract with its covered assets, visit schedule and renewal date. It raises job cards for due visits, reminds customers before each service and before expiry, and shows the owner which renewals fall due this month. Nothing depends on one person remembering.

Why AMC Renewals Slip

In many service businesses, AMCs live in an Excel sheet, a diary and the memory of one senior technician. The contract is signed, the first visits happen, and then the renewal date passes without a call.

The customer is not unhappy, just unasked. By the time someone notices, they may have signed with whoever called them first.

Keep Contract, Assets and Schedule in One Record

Each AMC should hold the customer, the site address, and every covered asset with its model and serial number. It should also hold the number of visits, the schedule, what is covered and what is billed extra.

Tie service history to the asset, not only to the customer. An office with six AC units needs to see which one keeps failing.

Link warranty and AMC terms together, so the technician knows whether a part is free before fitting it.

Turn Due Visits Into Job Cards Automatically

Each morning the system should list the visits due in the coming days and create job cards for them. The coordinator then assigns technicians instead of searching a spreadsheet.

The job card reaches the technician’s phone with the asset’s history. It comes back with photos, parts used and the customer’s signature, and parts outside the AMC become a chargeable line on the spot.

For the dispatch side, such as scheduling by skill and location or working without signal, see our guide on field-service management software.

Separate Service Reminders From Renewal Reminders

Service reminders keep the customer ready for the visit. Renewal reminders protect income, so they should reach someone on your team as well as the customer.

  • A WhatsApp reminder a few days before each scheduled visit
  • An early renewal notice, well before expiry, with the new quote attached
  • A second notice close to expiry, routed to your salesperson for a call
  • A lapsed-contract list for follow-up after expiry
  • A monthly renewals report for the owner, by value and by technician

Start Simple, Then Choose Software for Your Trade

If you run a small number of AMCs with one kind of visit, a well-kept spreadsheet with a reminder column may be enough for now. Change when missed renewals start costing you customers.

Pest control, water purifiers, lifts, generators and CCTV each schedule visits differently, so generic tools often need workarounds. GullySystem’s pest control business management system already lays out each AMC’s visits from its start date and lists the contracts due for renewal. For other service trades, the team can build the same pattern around your own contract terms.

AMC lifecycle and reminder calendar

A timeline of one AMC from signing through each scheduled visit, the service reminders before them, the two renewal notices and the lapsed-contract follow-up. It marks which messages go to the customer and which go to your team.

Frequently asked questions

Can AMC reminders go out on WhatsApp automatically?

Yes, through the official WhatsApp Business Platform, using message templates that WhatsApp has approved. Service reminders and renewal notices both work this way. Avoid scripts that automate a personal WhatsApp number, since WhatsApp’s terms forbid auto-messaging and it can suspend the account.

What is a job card in service software?

It is the record of one visit: the customer, the asset, the fault, the technician and the work done. In software it lives on the technician’s phone and comes back with photos and a signature. It then feeds the invoice and the asset’s history.

Should AMC renewal be fully automatic?

The reminders should be automatic, but the renewal itself usually needs a person. Prices change, assets get added, and some customers expect a call. Let the system tell your team whom to call and when.
