How to Manage Bridal Makeup Bookings, Trials and Advance Payments

What a bridal booking record should hold
A bridal booking is more than a date. It carries the venue, the events, the number of people and the services each person wants.
When these sit in a diary, a chat thread and a payment app, no one place shows the whole booking. Put them on one record instead.
The record also links the trial, the advance, the balance, the assigned artists and the travel plan. The booking desk opens it for questions from the family. The artist opens it on the day.
Holding a date until the advance arrives
A wedding date can be held for a bride while she decides. The hold stays visible on the calendar, so the same date is not promised twice.
If the advance does not come, the hold is released and the date reopens. The owner decides how long a hold lasts. A shorter hold in the peak season is a common choice to consider.
Declining a date is recorded as well. Over time, enquiries against confirmed bookings shows how many holds turn into advances.
Booking trials and saving the look
A trial is booked with an artist before the wedding. The shades, base, lashes, hairstyle and products agreed are saved to the booking. The artist can also add the changes made on the day.
Those notes are what the wedding-day team follows. An assistant who was not at the trial still knows what was agreed.
Skin notes and allergies stay on the client record. Past looks are linked, so a returning client or a family member starts from what was done before.

Advances, balances and cancellation terms
Each advance is recorded against the booking it secures. The balance is set, with a due date. The owner sees which dates are secured and which balances are still due.
Cancellation terms are set the way the studio takes them today. GullySystem applies them as the studio states them. What the terms should be is a decision for the owner.
Reminders for trials and balances go out on WhatsApp, text message or email. The final invoice adjusts the advance and accepts cash, UPI or a card swipe.
What to decide before leaving the diary
Decide the advance amount, the balance date, the hold length and the cancellation terms first. Software records these rules. It does not choose them for the studio.
Then list the open bookings with their advances and balances. These are brought across from the diary or sheet, and the booking desk checks the loaded entries against it.
A freelance artist with a handful of bookings a month may not need this yet. A diary and UPI will do until dates clash or advances get lost.

How long should a wedding date be held for a bride?
That is the owner’s decision. The system holds a date and releases it if the advance does not arrive, and the length of the hold is set with the studio.
Should every bridal booking have a trial first?
That depends on the studio’s policy. Where a trial comes before each bridal booking, the look is saved to the booking so the wedding-day artist can open it.
