How a Workshop Runs Without Software

The service advisor writes a paper job card at the gate, with the complaint in a few words and the odometer reading if someone remembers. Photos of existing dents sit on a phone. The mechanic finds a worn clutch plate, calls the owner, gets a verbal yes, and pulls the part from the store without an entry.

At delivery, the bill is rebuilt from memory and the job card. A part fitted in a rush goes missing from the invoice, or the customer says nobody asked about the clutch. Each of these is small, but they happen every day, and they add up to money and trust.

Intake is where most disputes are won or lost. The job card should record the registration number, odometer, fuel level, belongings left in the car and photos of existing damage. The customer’s complaints should be written in their own words, with a promised delivery time.

Give the customer an estimate before work starts. When the mechanic finds extra work, send a revised estimate on WhatsApp with a photo of the worn part, and record when the approval came in. That record ends the argument at the billing counter.

Insurance jobs add a second approver. The surveyor approves some items, depreciation and the compulsory deductible fall on the customer, and the claim settles later. Good software keeps the insurer’s share and the customer’s share apart on the same job, so the customer pays the right amount on delivery.

Parts, Stock and the Final GST Invoice

Parts should be issued against a job card, which reduces stock and adds the line to the bill in one step. Returned parts go back the same way. A reorder level on fast-moving items, such as filters, brake pads and engine oil, keeps a car from waiting a day for a part you usually stock.

The invoice should show parts and labour as separate lines, each with its HSN or SAC code and GST rate. Your CA can confirm how much code detail your turnover requires. Payment by UPI or card gets recorded against the invoice, and a Tally export or sync saves your accountant from retyping the month’s bills.

Service Reminders, and Whether You Need It Yet

Each vehicle’s history, with the next service due by date or kilometres, lets the software send a reminder on WhatsApp at the right time. Repeat customers are where a workshop makes steady money, and most garages lose them simply by forgetting to call.
