HubSpot is easier to start and gentler on a team that dislikes configuration, but cost climbs as contacts and features grow. Zoho CRM offers more fields, rules and modules for the money and suits a team willing to set it up. Test both on one real week of leads.
Pipeline setup on day one
HubSpot gives you a deal board within an hour. Required properties per stage are simple to add. Most reps need no training to move a card.
Zoho CRM starts with a longer module list: Leads, Contacts, Accounts, Deals and more. Layouts, blueprints and validation rules sit deep in the Setup menu, and that depth lets you force a site visit date before a deal can move to quotation. It also means someone must own the configuration.
A phone and site visit team cares about one thing. Can a rep log a visit from the road? Install both mobile apps and time it.
- Stages and required fields per stage
- Separate lead and deal records, or one record only
- Mobile app call log and check-in
- Who edits the setup after the first month
Automation limits you will hit
Both tools can send a task to a rep when a deal sits idle, and both can assign a new lead by round robin. The gap shows in the paid tiers.
HubSpot keeps its richer workflows, custom reports and deal stage rules in the higher plans, so a small team can feel boxed in after the first year. Zoho exposes workflow rules, custom functions and Deluge scripting at lower editions. Its limits on rules per module and daily API calls are tighter than the pricing page suggests.
Write down the five automations you truly need, such as a follow-up task after a missed call or an alert when a quotation passes its validity date. Check each against the exact plan you would buy.
Reporting, email and WhatsApp
HubSpot reporting is clean. A dashboard of deals by stage and owner takes minutes, and email tracking, a shared inbox and meeting links work well together because one vendor builds them all.
Zoho gives more report types, including cross-module reports and a separate Analytics product, while its email sync with Gmail and Outlook feels less polished. Chat sells. Check WhatsApp early.
Neither tool treats WhatsApp as a built-in channel on every plan. You usually need the WhatsApp Business API through a provider, with approved message templates for first contact. Ask which provider connects natively. Then test.
- Dashboard for deals by stage, owner and age
- Email sync with your mail provider
- Approved WhatsApp templates and reply window
- Call recording and notes on the contact
How pricing behaves as contacts grow
HubSpot charges per paid seat, and also by marketing contacts if you use its marketing tools. A list that grows from a few hundred to tens of thousands can push you into a new tier. Dead contacts still count.
Zoho charges per user per edition. Cost is steadier as the list grows, but add-ons such as Analytics, Campaigns and a telephony connector are billed separately and add up quietly.
Do not compare the sticker price. Build one sheet with your seat count today, your contact count in two years and the add-ons you need. Ask each vendor to confirm it in writing.
Which one fits a phone and site visit team
Pick HubSpot if your reps resist forms and your manager wants pipeline reports without building them. Accept that the bill will rise. Pick Zoho CRM if you need a visit checklist, custom quotation fields or approvals and someone will maintain them.
Run a one week trial in both with real leads. Give three reps the same ten and count the taps needed to log a visit, find a quote and set a follow-up.
Choose the tool your slowest rep prefers, then write down the setup before you pay for a year.
CRM comparison scorecard
Two columns, one per tool. Twelve rows cover stage setup, mobile visit log, required fields, five automations, WhatsApp template test and email sync. The rest cover dashboard build time, seat cost, add-on cost, contacts in two years and rep vote. Each row gets a score and a line of proof.

Is HubSpot or Zoho CRM easier for a non-technical team?
HubSpot, usually. Its screens need less setup and reps pick it up fast. Zoho takes more configuration, but a person who owns the setup can shape it closely to your process.
Can both tools connect to WhatsApp?
Yes, through a WhatsApp Business API provider. Messages outside the reply window need approved templates. Test a real template with your own number before you commit to either tool.
Will costs surprise us as we add contacts?
They can. HubSpot may move you up a tier as marketing contacts grow. Zoho is steadier but bills add-ons separately. Ask for a written quote at your expected size in two years, with seats, contacts and add-ons itemised.
Can we move from one to the other later?
Yes, by exporting contacts, companies and deals as CSV files and mapping each field, owner and stage to its twin in the new tool. Notes, call logs and attachments are harder, so keep the first choice for at least a year.
