The short answer

Odoo and ERPNext are modular ERPs that you can host yourself or rent from the vendor, and both can be reshaped with code. Zoho is a set of hosted apps. Pick by depth in stock, accounts and HR, then by who will keep the system running once the consultants have gone home.

Three different shapes of product

Odoo and ERPNext are single applications whose modules share one database, so an order, a delivery note and an invoice are linked records in one place. Zoho is built another way. Its apps, Books, Inventory, People and CRM, are separate products that pass data to each other through sync rules that someone must configure and keep watching.

Here is why that matters. On the day a number looks wrong, a single database lets you open the invoice and follow the link back to the delivery note in two clicks. With separate apps you first read a sync log, and the log may be days old.

Zoho sells a bundle with one sign in. Each app still keeps its own settings, users and limits, and a field renamed in Books will not rename itself in Inventory unless someone updates the sync rule.

  • Odoo: one database, apps switched on one at a time
  • ERPNext: one database, built on the Frappe framework
  • Zoho: separate apps joined by sync rules and shared sign in

Where each one is deep and where it is thin

For stock, Odoo and ERPNext both handle batches, serial numbers, several warehouses, reorder rules and landed cost vouchers, with a valuation method for each item group. Odoo suits barcode work. ERPNext adds a solid bill of materials. Zoho Inventory covers composite items and multi warehouse selling for traders, yet it is thinner on production routing, work orders and subcontracting.

Accounts differ by country. Test the tax codes, bank feeds and fixed asset schedules for your own jurisdiction before you shortlist anything, using last quarter’s real invoices as the test data. Zoho Books is a mature product by itself. Odoo keeps fuller accounting in the paid edition.

HR is where gaps show up. ERPNext puts leave, payroll and expense claims in one HR module, while Odoo spreads them across several apps that you switch on and pay for separately. Zoho People is good at leave.

  • Production and bill of materials: ERPNext and Odoo ahead
  • Payroll rules for your country: test with a real payslip
  • Project billing and timesheets: all three can do it, in different ways

How you change them to fit your process

Odoo is written in Python with an XML view layer, and ERPNext is Python and JavaScript on the Frappe framework, so both reward a team that knows those languages. Adding a field is easy. Odoo Studio, a paid tool, lets a power user build screens and automations by clicking, without any Python.

ERPNext ships with custom fields, workflows and server scripts. Zoho takes another road, with Deluge scripts, custom functions and Zoho Creator screens wrapped around the main apps, which is quick to start but awkward to test. Plan for that.

Every customisation costs you again at upgrade time, when someone must retest each changed screen, print format and report. Keep changes small. Prefer a custom field over a rewritten posting rule.

Licensing and hosting choices

Odoo has a free Community edition and a paid Enterprise edition, and some accounting, studio and mobile features sit only in Enterprise. ERPNext is open source, so you pay for hosting, support or Frappe’s cloud. Zoho is subscription only, charged per user and per app.

Self hosting means you own the server, the backups, the SSL certificate and every version upgrade, usually through an outside sysadmin. Vendor cloud lifts that load but limits which custom code you can install. Ask each vendor for its current price list in writing. Plans change.

Test the exit too. Confirm that you can pull every table and attachment out as CSV files or a database dump, then open the files yourself to see what you would really get.

Support, community and who will implement it

Software is worth little without people near you who can set it up. Search local job boards and partner directories for each name and count the implementers, then ask each one for two references with a similar stock and accounts setup.

Odoo has a large partner network and a big app store. ERPNext has an active forum and many independent consultants who work by the day. Zoho has certified partners and direct vendor support, with response times set by your plan. Read the support terms, not the brochure.

Run a pilot for two weeks with ten real items, five customers and one month of bank lines. Score all three on the same sheet. Then decide.

ERP shortlist scoring sheet

The sheet lists Odoo, ERPNext and Zoho down the left edge, one platform per line. Columns cover stock depth, accounts fit for your country, HR and payroll, customisation route, hosting option, export test, local implementers and pilot result. Each cell takes a score and a note. A last block records who signed off.

Questions owners ask

Is Odoo or ERPNext easier for a small team to run?

Both need one person who owns the system and its settings. Odoo has more ready apps and a wider partner network, while ERPNext has a leaner install and a gentler learning curve. Load your own item list into each trial first.

Can Zoho replace a full ERP?

For trading and service work, often yes. For production planning or many warehouses, check the Zoho Inventory limits first, and test your busiest document chain from quotation to payment before you commit to anything.

Which is cheapest over three years?

It depends on users, hosting and customisation. Add subscription or hosting, implementation, training and yearly upgrade work for each platform into one sheet. The cheapest licence can still be the costliest project.

Can we switch platforms later?

Yes, but it is a migration project. Keep clean exports of items, parties and ledger balances from day one.
