Matching OTA payouts to bookings without a spreadsheet

The short answer

An OTA payout is a net batch of many stays, not a list of bookings. It deducts commission, sometimes withheld tax and card fees. To match it, compare each booking’s expected net with its statement line, then chase every line that differs.

Why the payout never equals the booking value

A guest books at one price. Commission comes off first, a payment processing fee may follow and tax is sometimes withheld, so what reaches your bank is a smaller number covering several stays.

Your PMS shows the gross rate per room night. The bank shows one credit. The statement sits in a third place. Nobody sees all three together.

That gap is where short payments hide, because a missing booking passes for rounding until someone lists every reservation against every statement line.

Collect the three records for the same period

Pull the booking list from your property system for the dates the payout covers, download the channel’s statement from its extranet, and take the bank credit with its reference.

Check which date the channel pays on, whether a Booking.com, Expedia or Agoda style cycle. Some pay after check-in, others after check-out, others after a fixed delay, so a correct booking can still miss this month’s payout.

Note the payment type: virtual credit card or direct bill, prepaid or pay at property. Your front desk charges virtual cards itself. Direct bill bookings arrive from the channel itself. Keep the two apart.

  • Reservation list with confirmation numbers
  • Channel payout statement per booking line
  • Bank credit with reference and date
  • Rate plan and commission terms in the contract
  • Cancellation and no-show records

Reconcile at booking level

For each booking, work out the expected net, which is room revenue less the agreed commission and any stated fee. Match it to the statement line by reservation ID, never by guest name alone.

Flag three kinds of difference. First, statement lines with no booking in your system. Second, bookings with no statement line. Third, lines where the amount is off.

Totals tell you nothing here. Remittance advice PDFs list lines, and a clean grand total can hide a real loss. Two errors of opposite sign cancel out, so the month looks fine while two guests went unpaid.

Know the usual causes of short payments

Currency conversion is common when the guest paid in another currency. It converts at its own rate on its own day, so your expected figure drifts from its figure by a few cents on every stay.

Cancelled and no-show bookings are another cause. Check whether the non-refundable rate plan allowed a charge, since many hotels forget to claim no-show fees.

Commission applied to taxes, upgraded rooms billed at the original rate, rate parity discounts and duplicate reservations also appear in statements. Keep a short list of each cause, such as FX margin, tax gross-up or an extranet rate override, and watch which one repeats.

  • Exchange rate differences
  • No-show and late cancellation fees not passed on
  • Commission charged on tax or extras
  • Room upgrades priced at the original rate
  • Duplicate or split reservations

Raise disputes with evidence and a deadline

Send the channel a list, not a complaint. Give the reservation ID, stay dates, expected amount, paid amount and difference, and attach the folio or rate confirmation so the support agent has everything in one message.

Channels set time limits for disputes, often tied to the statement date, so put the deadline in your calendar the day you download the statement. Late claims get refused.

Keep a dispute log with date raised, response and result, and review it each quarter. A channel that keeps shorting you belongs on the agenda of the next contract talk.

OTA payout reconciliation worksheet

Every booking takes a single row, with columns for channel, confirmation number, guest name, stay dates, gross rate, agreed commission, expected net, statement amount, difference and cause code. Below the rows, a block records the bank credit reference and payout date. A dispute log with deadline and outcome sits beside it.

Questions owners ask

Why does my OTA payout cover several bookings?

Channels pay in batches on a schedule. One credit may include stays from different dates, minus commission and adjustments. Only the statement shows which bookings sit inside it.

How often should I reconcile?

Each time a payout lands. Smaller, regular checks are easier than a quarter’s worth, and you stay inside the channel’s dispute window.

What should I do about a missing booking?

Check the payout timing first, then the cancellation status. If neither explains it, send the channel the reservation ID and stay dates and ask for the payment status in writing.

Can software do this matching?

Software can import statements, calculate expected net per booking and list the unmatched lines. A person still decides which differences to dispute.
