Proof of delivery for Sikkim and Assam routes: WhatsApp or an app

The short answer

WhatsApp photos are free and familiar, but they sit in chats, lose their link to the invoice and fail where signal is weak. An app captures a signed or photographed proof per trip and invoice, saves it offline on the hill road and syncs later. For a growing route network, the app wins.

What proof of delivery has to do

A delivery proof exists to answer one question months later: did this invoice reach this shop on this day, in this condition? The answer decides whether the customer pays and whether a damage claim is accepted.

For a Siliguri transporter, that proof has to match three things. The trip, the invoice and the signature must all point to the same consignment. A photograph that cannot be tied to an invoice number is only a picture of boxes.

How WhatsApp works on these routes

Drivers already use WhatsApp, so there is nothing to teach. The driver clicks a photo of the signed copy at the shop in Gangtok or Guwahati and sends it to the office. It costs nothing. It feels quick.

The trouble starts at the office. Photos arrive in a long chat, mixed with voice notes and trip updates. Somebody has to save each image, rename it and attach it to the right invoice. Two people on the same day make two different filenames. On a Monday morning with thirty trips back, the matching falls behind.

Compression blurs stamps and signatures. A photo sent from a hill road with one bar of signal may stay on the phone, unsent, until the driver reaches Siliguri.

  • No link between the photo and the invoice number
  • Chats scroll away and images are deleted when phones change
  • Compression makes stamps hard to read
  • Delivery stays unproven if the phone is lost or the driver leaves

What an app changes

A proof of delivery app starts from the trip. The driver opens the day’s consignments, picks the invoice and captures the signature on screen or photographs the stamped copy. The record is stamped with time and place and saved against that exact invoice.

Weak signal stops mattering. The app stores everything on the phone through the Teesta valley or the Sevoke stretch and uploads when coverage returns. The office sees the status change from dispatched to delivered, with the proof attached.

It can also record partial deliveries, shortages and refused boxes with a reason, which a chat photo simply cannot do.

Side by side

For a handful of vehicles and a patient accounts team, WhatsApp is workable. The cost shows later in unmatched trips and slow collection.

Once you run daily trips to Sikkim, Bhutan and the northeast, the arithmetic changes. Each missing proof delays a payment, and each delay ties up working capital for a customer who will not pay without the paper.

  • Cost to start: WhatsApp is free, an app needs setup and training
  • Matching to invoice: manual in chat, automatic in an app
  • Offline use: photos queue badly, an app syncs when signal returns
  • Audit trail: chats are loose, an app keeps time, place and user

Pick one route and test

Choose a single route, such as Siliguri to Gangtok, and run it for two weeks with an app while the rest stay on WhatsApp. Count how many invoices have proof attached by the day the truck returns.

Compare that count with the other routes. The difference gives you the decision, without a debate.

Questions owners ask

Can drivers use an app with low-cost phones?

Most simple apps run on basic Android phones. Test on the phones your drivers already carry before you commit to anything, and check storage and battery use.

Is a photo of a signature accepted as proof?

Many customers accept it, but terms differ. Check the contract and the customer’s receiving process, since some insist on a stamped copy or a recorded name.

What if there is no signal for the whole trip?

An offline-first app stores the proof on the phone and syncs on return. Make sure it timestamps at capture, not at upload.

Do we need to drop WhatsApp completely?

No. Drivers can still call or message the office. The change is that proof goes into the app, where it attaches to the invoice.
