Requirements checklist
What to ask for when choosing software for dermatology clinics.
A checklist built from how dermatology clinics work, to print or save as a PDF and bring to any supplier meeting.
What the software should cover
Tick each one that matters to your business.
- Appointments by doctor, nurse and room
- Skin assessment and diagnosis
- Before and after photographs
- Treatment plans and session packages
- Consent and aftercare
- Product, batch and consumable stock
- Billing, recall and practitioner share
Roles that need their own access
Who logs in, and what each person may see or change.
- For the doctor
- For the front desk
- For therapists and technicians
- For clinic owners
Reports to ask for
Ask to see each one with your own sample data.
- Sales by procedure, doctor and branch
- Package balances and sessions pending by patient
- Consents pending or missing before a procedure
- Patients who paused a course
- Stock to reorder and products near expiry
- Fee share or commission by practitioner
Systems it may need to connect to
Note which ones you already run.
- SMS
- Transfer and card payments
- Accounting export, scoped separately
Questions for any vendor
Put these to every supplier you are comparing.
- Can it count sessions on a laser or peel package?
- Can patients book their own appointments online?
- How and when is the consent form signed?
- Where are before and after photos kept, and who sees them?
- Can a package be used at both our branches?
- Can the clinic’s accounts go into accounting software?
- Can patients and package balances be moved?
- Who owns the patient data?
- What does it cost?
- Do we need this for a clinic with one doctor?
Where the work usually breaks today
Circle the ones you recognise. They set the order of the project.
- Photos are kept on personal phones
- Consent is filed separately from treatment
- Package balances are misread
- Product and consumable stock is guessed
- Practitioner shares are disputed
