Keep each skin patient’s photos, treatment course, consent and aftercare in one record.

Dermatology clinics combine medical consultations with procedures that run over several sessions. The skin and aesthetics product holds assessments, photos, session packages and consent forms on one patient record. A recall list names patients whose next session or review has come round.

At a glance

Skin care runs in courses. A patient with acne, pigmentation or hair loss may need a dozen sessions or a series of reviews. Progress is judged by comparing photographs taken weeks apart.

Many clinics keep those photos on a phone and the plan on paper. Finding the right image for the right visit is slow. Consent forms are easy to misplace.

How the work runs today

Reception books patients by dermatologist, nurse or technician and room. The doctor examines the skin, records the diagnosis, prescribes treatment and advises procedures such as peels, laser sessions or minor surgery. Photographs are taken before and after, and the patient signs a consent form for each procedure.

Sessions are sold as a package, so the visits used and the visits left matter at the desk. Creams, sunscreens and other products are sold from a shelf, and consumables such as laser tips and peel solutions are tracked by batch.

Doctors, nurses and technicians are often paid by a share of procedures or a commission on products. Each person’s month-end figure must be worked out. Disputes follow when it is not.

Where it breaks

What goes wrong for dermatology clinics without a proper system.

Photos are kept on personal phones

Before and after images are taken on whatever device is nearby. Finding them for a review means searching a gallery. It wastes time.

Consent is filed separately from treatment

A signed form is in a folder while the session is in a book. Matching the two takes time when a question arises. Staff search.

Package balances are misread

A patient prepays for a set of sessions. The count is held on a card. A disagreement arises at the counter.

Product and consumable stock is guessed

Chemical peels, creams and laser consumables each have a batch number and an expiry date. Counts are taken only when stock runs out.

Practitioner shares are disputed

Commission on procedures and products is added up by hand from several books. The figures do not always agree. Practitioners notice.

What the software does

What we would build for dermatology clinics.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Appointments by doctor, nurse and room

Book consultations and procedure sessions by practitioner and room, and send reminders by SMS or messaging ahead of each visit.

Skin assessment and diagnosis

Record the history, the area examined, the diagnosis and the treatment decided, dated and attributed to the doctor.

Before and after photographs

Store images against the patient, the area and the session date, so progress is compared in one view without searching a phone gallery.

Treatment plans and session packages

Plan the sessions, sell a package at the desk, and count each session against it, with the balance shown at every visit and at billing.

Consent and aftercare

Attach signed consent forms to the patient and the procedure, and record the aftercare instructions given to the patient with each session, so the file shows what was agreed and advised.

Product, batch and consumable stock

Count creams, peels and consumables by batch and expiry date, with reorder levels, supplier orders and a warning before anything near its date is used on a patient.

Billing, recall and practitioner share

Bill sessions and products, list patients due to return, and work out each practitioner’s share for the month.

Common questions

Questions dermatology clinics ask before they call.

Is photo storage available?

Yes. Images attach to the patient, the area treated and the session date. Privacy settings and who may view them are agreed during implementation.

Is aesthetic work covered as well as medical dermatology?

Yes. Medical consultations and procedure sessions are both recorded, with separate treatment lists and prices set up as your clinic offers them.

Are session packages tracked?

Yes. A package is set up with its sessions, and each one used reduces the balance. The desk sees sessions left at the next visit and when the course ends.

Are product batches and expiry dates tracked?

Yes. Creams, peels and consumables are recorded by batch and expiry date, with alerts before they lapse. Supplier details are entered as your clinic holds them.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
