Is custom software the right choice for us, or should we buy a ready-made product?

Buy the ready-made product when your requirement is standard — accounting, payroll, plain invoicing or basic billing are solved problems and not worth building. Custom software earns its cost when the way you operate is the reason you win business, when a packaged tool covers only part of your process and your team maintains registers for the rest, when you are paying per user forever for features you never open, or when the software itself is the product you intend to sell. We will tell you honestly which side of that line you are on before quoting.

What does a custom software project actually include?

A complete working system, not just code. That means requirement and scope documentation, interface design and a clickable prototype, the frontend and backend application, the database and APIs, an admin console, the integrations you need, migration of your existing data, testing and production deployment, source code and technical documentation, and staff training with post-launch support. Mobile applications, customer or dealer portals and reporting dashboards are included where the scope calls for them.

How is custom software priced?

Price is driven by scope, not by a rate card. The main factors are the number of user roles and screens, how complex your business rules and approval chains are, how many third-party systems must be integrated, whether you need mobile applications as well as web, the depth of reporting required, how much existing data has to be migrated and cleaned, and whether the product is single-company or multi-tenant. We give a firm, itemised proposal once the scope document is agreed, so you are approving a defined deliverable rather than an estimate.

What decides how long the project takes?

Duration is driven by how much goes into the first release, not by our capacity. The biggest factors are the number of modules in phase one, how many platforms are involved (web only, or web plus Android and iOS), integrations with third parties whose access and approvals sit outside our control, the condition of the data being migrated, and — in practice the most common one — how quickly your team can answer questions and approve designs. A phased plan puts the first module into daily use much earlier than a single large delivery.

Can the project be delivered in phases?

Yes, and for most businesses we recommend it. We start with the department or process losing the most time or money, get it live, let your team use it and tell us what is missing, then build the next module on the same foundation. You get value earlier, staff absorb one change at a time, and later phases are shaped by real usage instead of assumptions made at the start.

Can you work with the systems we already use?

Yes. We are not asking you to discard what works. We regularly connect custom applications with Tally, Zoho Books, existing SQL databases, packaged CRM and HR tools, payment gateways, WhatsApp Business and your website, using documented APIs, webhooks or a controlled database bridge. Where a system has no API, we handle it through structured file exchange or a scheduled sync so data still moves without manual re-entry.

Can you move our existing data into the new system?

Yes, data migration is part of the delivery. The effort depends on how clean the data is: how many years of history you want carried across, whether customer and item names are standardised or exist in several spellings, how many duplicates need merging, and whether opening balances have to be reconciled. We run a trial migration into a test environment first and you verify it against your own registers before we go anywhere near go-live.

Who owns the source code and the data?

You do, completely. On handover you receive the full, unencrypted source code repository, the database design, deployment documentation and intellectual property ownership of the software built for you. Hosting and third-party accounts can be created in your own name from day one. There is no proprietary licence and no arrangement that makes it difficult to continue with another team.

Do you provide hosting, deployment and ongoing maintenance?

Yes. We set up secure cloud hosting, domain and SSL configuration, environment separation, automated backups and monitoring as part of the delivery, in your own cloud account where you prefer that. After launch there is a warranty period covering defects, followed by an optional support agreement covering monitoring, backups, security updates, small enhancements and new feature development at an agreed cadence.

Can you take over software that another vendor built?

Yes. We start with an audit of the existing code, database, hosting and documentation, and then tell you plainly whether it is worth continuing, re-engineering in parts, or rebuilding on a stable foundation — including when the honest answer is that your current system is fine and does not need replacing. Where the priority is stabilising and maintaining what exists rather than building something new, our software maintenance and rescue service is the better fit.

How do you protect our business data and confidentiality?

We sign a non-disclosure agreement before discovery begins. In the software, access is controlled by role and branch, data is encrypted in transit and at rest, credentials and keys are kept out of the codebase, and every significant action is logged with a user and timestamp. During development we work with masked or sample data wherever possible, keep development and production environments separate, and restrict production access to named people.

Will you train our staff, and what do you need from us during the project?

We train each user group on the screens they actually use, in plain language, with short guides and manuals they can keep. From you we need four things: one decision-maker who can approve scope and designs, one knowledgeable person per department for questions, sample documents and access credentials for any system we must integrate with, and staff time for user acceptance testing before go-live. Projects that slow down almost always slow down on approvals, so timely decisions from your side are the single biggest contribution you make.
