GullySystem

Customer, Vendor, Dealer and Employee Portals

A self-service login for people outside your day-to-day operations team — customers, dealers, vendors or staff — to place orders, check status, submit bills or raise requests directly. GullySystem builds it against the same data your team already works from.

Overview

A portal gives someone who is not your own internal user, or an employee working self-service, a defined slice of your system: a dealer sees their orders and scheme pricing, a customer sees only their own job history, a vendor submits and tracks their own bills. It replaces the office phone as the way these people currently get answers.

The Four Portal Types We Build

Customer Portals

Order or job status, invoice and document downloads, and support requests, so a customer stops needing to call for information already sitting in your system.

Dealer Portals

Order placement against scheme-wise pricing, credit limit visibility, and claim submission, moving data entry from your office to the dealer.

Vendor Portals

Purchase order visibility, bill and invoice submission, and payment status, replacing courier and email exchanges with a tracked record.

Employee Portals

Leave and request submission, internal announcements and self-service HR tasks, kept separate from customer-facing access.

What Every Portal Needs, Regardless of Who Uses It

  • Access scoped strictly to that person's own records, never another party's data
  • A registration or invite process that matches how you currently onboard that group
  • Notifications back to your team when a portal user takes an action needing attention
  • The same underlying data as your internal system, so nothing needs re-entry

What This Replaces

For most businesses, this replaces a phone line staffed to answer the same handful of questions repeatedly — order status, bill copies, claim updates — and a data-entry step where someone types a dealer's phoned-in order into the system by hand. The portal moves both the question and the entry to the person who already has the information.

FAQ

Frequently asked questions

Do we need separate portals for customers, dealers, vendors and employees?

Not necessarily as separate applications — they are usually built as one platform with role-based access, so a dealer and a customer log into the same system but see entirely different screens and data. We combine or separate them based on how distinct the two audiences' needs actually are.

Can a portal be added to a system we already run internally?

Yes, provided the internal system has an API or a database we can build against safely. We add the portal as a separate, access-controlled layer over your existing data rather than duplicating it.

What drives the cost of a portal build?

How many portal types are needed, how much functionality each one includes beyond viewing information, and how tightly access needs to be scoped per user, especially where dealers or vendors must never see each other's data.

What decides how long a portal build takes?

The number of distinct user types, how much of the underlying data and logic already exists to build the portal against, and how the onboarding or invitation process for each group needs to work.

How do you stop one dealer or customer seeing another's data?

Every query is scoped to the logged-in user's own records at the application and database level, and this scoping is specifically tested before launch, not assumed to work because the screen only displays the right thing by default.

Who owns the portal once it is built?

You do. Source code, database and documentation are handed over as part of the same delivery as the rest of the application.

What do you need from us before we start building?

Which user groups need portal access, what each group should be able to see and do, and how you currently onboard or verify a new dealer, vendor or customer before granting them access.
