Every client’s bills, bank lines and close, in one queue.
An accounting outsourcing firm runs the finance back office for other companies. The software holds each client’s engagement letter, document intake, coding queues, reviewer sign-off and close checklist, and hours and invoices follow the same engagement record, so delivery and billing agree.
Your staff post purchase ledger entries, match bank lines and close months for many clients at once. Each client keeps its own chart of accounts, approval limits and posting cut-off date. Work arrives as scanned bills, statement files and email. Nothing is uniform. A processor who switches client twenty times a day needs each client’s rules open beside the bill.
Accounting outsourcing software starts with the engagement. It lists the services in the engagement letter, the volumes you priced and the dates you promised, then follows every document through intake, coding, review and posting. Billing comes last. It is drawn from the same record, never from guessed hours.
A new client is onboarded with an engagement letter, a chart of accounts and a mapping to your own coding rules. Each morning the team lead sees what arrived overnight for every client: supplier bills, expense claims, bank statements and payroll inputs. Bills are read, coded and queued. A reviewer checks each one against the supplier master. Queries to the client controller are logged against the bill and never asked twice.
Near month end the close checklist for each client fills up. It names who owns the bank reconciliation, the accruals, the prepayment release, the intercompany entries and the reporting pack, along with the date each step must be finished. A late client is visible by name. Nobody has to guess. Hours are logged by client and by task, and the monthly fee is raised from the agreed scope plus any extra work.

Software built around how your business actually runs, when nothing off the shelf fits without workarounds.
Learn moreData Migration and Moving Off Spreadsheets
Data migration and spreadsheet replacement covers auditing existing files, cleaning and deduplicating records, loading them into a new system and reconciling the loaded result against known totals. Both systems then run side by side before cutover. Originals stay untouched.
Learn moreTraining and Adoption
Adoption work starts after launch. Each role is trained at its own screen on its own tasks, such as billing returns, goods receipts or closing job cards. Support stands on the floor at go-live. Afterwards the records are reviewed to find which steps staff skip, which fields stay blank and why the stores or field team still reach for a notebook. Share your requirements and we will plan it with you.

Can each client have its own coding rules?
Yes. Account mappings, cost centre or project coding, approval limits and cut-off dates are held per client, and a processor sees that client’s rules at the top of every queue.
Is this an accounting ledger?
No. It runs the outsourced work around the ledger. Postings still go into the client’s own accounting package, or yours, and the first workshop settles which package is in use and what data is sent to it.
Can pricing differ by client?
Yes. A fixed monthly fee, a per-document rate or an hourly rate can sit on one engagement, with extras listed on the invoice. Rate cards are keyed in together before the first live month.
What does it cost to start?
No figure is published. Headcount, the client list you bring over and the services in scope all shape the quote, and you watch a working demo first, then receive the offer on paper.
What happens after I share my requirements?
An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.
How much will the software cost?
We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
