Business Services · Software for outbound sales centres

Run every campaign, calling list and agent target from one record.

Outbound sales centres work through purchased or client-supplied lists, with callers on target and incentive plans. The product holds the campaign, the list batch, the call outcome, the callback and each agent’s sales together. The floor is then managed from one screen.

At a glance

An outbound centre works a list. Each campaign has a script, a set of contact batches, a number of attempts per record and a target for sales or booked appointments. Callers are paid partly on what they close, so every outcome has to be counted the same way for everyone.

Lists, dialler exports, call notes and incentive sheets usually live apart. Each evening someone reconciles them by hand to learn how many records were reached and how many converted.

How the work runs today

The campaign manager loads a list batch, removes numbers on the suppression list, splits records among teams and sets how many attempts each one gets. Callers dial through their list, pick an outcome for each attempt, such as no answer, call back, not interested, interested or sale, and note the next step.

Team leaders watch contact and conversion rates during the shift and move callers onto the campaigns that are behind target. Quality listeners review recorded calls for script wording and for any consent line the client requires. Coaching follows.

At month end, someone totals each caller’s sales and appointments by campaign and applies the incentive slab by hand, then reconciles the figure with what the client accepted as a valid sale. Disputes about which sale counts are common, and they take days to settle.

Where it breaks

What goes wrong for outbound sales centres without a proper system.

List batches lose their history

A record is dialled by two teams on two days. The dialler export holds no running count of tries per number, so nobody sees the attempt count until a customer complains.

Suppression lists are applied by hand

Numbers that asked not to be called, or that the client excluded, are filtered with a spreadsheet before each load. One missed filter leads to a complaint.

Outcomes are counted differently by each team

One team marks a promised callback as interested and another marks it as pending. Conversion figures cannot be compared across the floor.

Incentives are worked out at month end

Callers learn what they earned long after the calls. Slabs and clawbacks for rejected sales are applied on a sheet that few people understand.

Client rejections come back late

A sale is delivered to the client and rejected a week later for a missing detail. The caller, the call and the campaign are hard to trace.

What the software does

What we would build for outbound sales centres.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Campaigns, scripts and targets

Create a campaign for each client or offer with its script, calling hours, target for sales or appointments, and the teams assigned.

List batches and attempt limits

Load a batch, remove duplicates, set the number of attempts and gaps between them, and see how far each batch has been worked.

Suppression and consent lists

Keep numbers that must not be called, with the source and date, and match every new batch against them before callers see it.

Call outcomes and callbacks

Record one agreed set of outcomes for each attempt, book callbacks with a time, and show each caller the ones due next.

Sales, appointments and client acceptance

Hold each sale with its captured details, the client’s acceptance or rejection, and the reason for any rejection.

Caller targets and incentive slabs

Set targets per caller and campaign, apply the slab and clawback rules, and show each caller their running figure through the month.

Shifts, attendance and floor view

Record who is logged in by campaign, compare it with the shift plan, and show contact and conversion rates as the day moves.

Common questions

Questions outbound sales centres ask before they call.

Is this a predictive dialler?

No. Your dialler places the calls. This system holds the campaign, list batch, outcome, callback and sale around them, and can take call results from the dialler by a connection reviewed with you.

Can we keep numbers that must not be called?

Yes. Suppression entries carry their source and date, and each new batch is matched against them before any caller sees it. The rules behind the list come from your own advisers.

How are incentives worked out?

Slabs and clawbacks are entered as your plan states them. Accepted and rejected sales feed the figure, so a caller sees a running total instead of waiting for month end.

We run campaigns for several clients. Can each be separate?

Yes. Each client has campaigns, scripts, outcome codes, acceptance rules and a report of its own, and a manager sees only the clients assigned to them.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
