A CRM Licence the Sales Team Was Not Using
A solar EPC company had bought CRM seats for its field team, but the product’s default stages — lead, opportunity, closed — meant nothing to a sale that runs site survey, design, proposal, subsidy paperwork and then order. Reps updated the CRM once a month for the review meeting. We renamed the stages to their own, made mandatory only the fields a rep genuinely has at that point, set territory-wise assignment, configured the mobile screens for site visits and hid the rest. The same licence now carries the pipeline the owner reviews.
Modules Bought but Never Switched On
A light-engineering manufacturer had licensed a full ERP suite, but only billing was ever configured — purchase, stores and quality stayed on registers because nobody had built the item masters, units of measure or opening stock. We built the masters, configured document numbering, stock reservation against confirmed orders and goods-receipt matching, then brought the modules live one at a time, so the suite already being paid for now covers the work the registers were doing.

Which ERP or CRM should we choose?
That is decided by your requirement and gap study, not by a preferred product. We map your processes across departments, shortlist the platforms that cover most of them as standard, and set out the trade-offs — fit, configuration effort, licence model and what will still need custom work. You buy the licences directly from the vendor in your own company name, so the subscription and the account always remain yours.
Can you customise the platform we already use instead of replacing it?
Yes, and in most cases that is the cheaper answer. We review your current configuration, masters and data quality, and identify what can be fixed by configuration, what needs a custom module or extension, and what genuinely cannot be solved on that platform. Replacement is recommended only when the gap is structural.
Can you migrate our data from Excel and Tally?
Yes. Spreadsheets, Tally, legacy databases and exports from an older system are all normal starting points. The work is not just the upload: we de-duplicate customers and items, standardise formats and codes, map fields to the new structure, run a trial migration, and reconcile counts and balances against your existing records before cutover.
Will you integrate the system with Tally and WhatsApp?
Yes. Accounting sync with Tally or Zoho Books and messaging through the WhatsApp Business API are among the most common integrations we build, along with payment gateways, your website enquiry form and any in-house application you rely on. Where a platform offers a ready connector we configure it; where it does not, we build and maintain the connector ourselves.
What drives the cost of an implementation?
Cost is driven by the number of departments and modules in scope, how far the platform must be customised beyond its standard behaviour, how many users and branches are being rolled out, the state of your existing data, and the number of integrations. Licence fees are a separate cost paid to the platform vendor. We give an itemised proposal after the discovery study, so you can see which parts of the scope carry the cost and drop or defer any of them.
What decides how long it takes?
Duration depends on scope and on how quickly decisions and data come from your side. A single-department CRM configuration moves quickly; a multi-module ERP across branches, with heavy data cleaning and custom modules, takes considerably longer. The most common delay is data — waiting for someone in your team to confirm which customer record is correct. We plan the schedule in phases and share a dated plan after discovery.
Our earlier implementation stalled. Can you take it over?
Yes. Taking over a half-finished or unused rollout is regular work for us. We audit the current configuration, masters and data, list what is wrong and what is salvageable, correct the setup, clean the data that was loaded badly, and restart adoption with proper training — usually without losing the licences you have already paid for.
How do you train our users?
Training is role-wise, not one long session for everybody. A sales representative learns the visit and quotation flow; the accountant learns invoicing and reconciliation; the store keeper learns receipts and issues. Each role gets a short guide in plain language, and we stay available through the first weeks of live use, when the real questions come up.
Do you support us after go-live?
Yes. Every implementation includes a supported go-live period, followed by an optional ongoing support arrangement for configuration changes, new reports and dashboards, additional integrations, onboarding new users and rolling out to further branches.
Who owns the configuration, the data and any custom code?
You do. The platform subscription is in your company name, the data is yours and can be exported at any time, and any custom modules, connectors or scripts we build are handed over with full source code and documentation. We also hand over the configuration notes so another team could pick it up if you ever choose to.
How do you keep our customer and financial data safe during migration?
We sign a non-disclosure agreement before discovery begins. Migration work is done on restricted extracts with access limited to the engineers on your project, test environments use masked or limited data wherever practical, and access credentials are handed to you and rotated at handover. Permissions inside the new system are configured so staff only see the records their role requires.
What do you need from our side?
Three things, and the project moves at the speed of these. First, access to the people who actually run each process, for the discovery interviews.
