Legal and accounting · Software for accounting and bookkeeping firms

Run monthly bookwork for many clients with one task list, one document trail and one fee record.

An accounting or bookkeeping firm writes books, reconciles banks, prepares sales tax, VAT or withholding workings and sends monthly reports for dozens of small clients. Papers arrive on WhatsApp, work sits in each accountant’s head, and billing is remembered late. Practice management software holds the client list, the monthly checklist, the paper requests and the fees, and reconciliation software handles the bank match.

At a glance

Your product is a month closed on time for each client. That depends on papers arriving, entries being posted, banks being matched and a report going out, in the same order, for every client.

Books themselves stay in your bookkeeping tool. What the firm needs on top is a record of who owes what paper, who is doing which step and which client has not been billed.

How the work runs today

Early in the month, the team asks clients for bank statements, purchase and sales bills and expense vouchers. Some send a folder, some send photographs on WhatsApp, and a few send nothing until reminded twice.

Accountants post entries, reconcile the bank, prepare the indirect tax and withholding workings, and hand the file to a senior for review. A monthly report goes to the client, and the partner signs off the work that needs it.

Fees differ by client: a fixed monthly retainer, a charge per entry or extra for payroll. The invoice is raised when someone remembers, and the dues list is a sheet.

Where it breaks

What goes wrong for accounting and bookkeeping firms without a proper system.

Papers arrive late and scattered

Bills reach the firm through email, WhatsApp and courier, and nobody can say which client is still missing what. The month waits.

Month-end status is a guess

The partner asks which clients are closed, and the answer comes from three conversations. Reviews bunch up at the end.

Bank matching eats days

Statements are ticked off against ledgers by pencil or a sheet. Open differences carry into next month unexplained.

Work outruns the fee

A client on a fixed retainer sends triple the vouchers, and no record shows the extra effort. The fee stays unchanged.

Billing and dues are remembered

Invoices go out late and collections are chased from memory. The firm funds its clients’ delays.

What the software does

What we would build for accounting and bookkeeping firms.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client list and service terms

Record each client with its registrations, the services you provide, the software their books are kept in and the fee terms agreed.

Monthly close checklist

Raise the same set of tasks for every client each month, with an owner, a due date and a reviewer, so the partner sees which files are closed.

Paper requests and reminders

List the bank statements and bills expected from each client by name, count the reminders sent and show the clients who are still late.

Bank reconciliation

Import statements, match them against books, and keep unmatched entries on one list with a reason against each. Reconciliation software is used here.

Review and sign-off

Record who prepared and who reviewed each piece of work, with queries raised and answered on the job.

Effort and fee records

Log time or entries against each client and set it beside the fee, so repricing at renewal starts from a record.

Invoices and collections

Raise fee bills from the service terms, record receipts and show dues by client age for a recovery round.

Common questions

Questions accounting and bookkeeping firms ask before they call.

Does it write our clients’ books?

No. Books stay in whichever accounting package each client uses. The software runs the practice around them: clients, tasks, papers, reviews and fees.

Will it file tax returns?

No. Filing is done on the government portals. The job records who prepared and reviewed it, and holds the acknowledgement and the filed copy.

We are not chartered accountants. Will the product still fit?

The practice management product is written for CA firms, and its client list, task calendar, paper requests and fee records suit bookkeeping firms as well. Services are set up as your own list, and the fit is checked in scoping.

Can it connect to accounting software?

Nothing syncs on its own. Fee bills and receipts are kept here, and an export for the books can be written during set-up. It is quoted separately.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
