One missed reply deadline on an examination report, and a client’s trademark is abandoned.

IP law firms track trademark and patent deadlines in an Excel docket fed by IP India portal checks and emails, where one missed reply can cost a mark. GullySystem builds a docketing and client system around your practice, with renewals and associate billing included. It starts with a free technology audit of how deadlines are tracked today.

At a glance

Your work is filings, examination reports, oppositions, hearings and renewals, for Indian clients and for foreign associates who send instructions by email.

The law is your strength. The risk is the date nobody saw.

How the work runs today

A client wants to protect a brand. You run a search, advise on classes, file the application with the TM-48 or power of attorney, and note the application number. Weeks later an examination report arrives, and the reply clock starts.

Then come advertisement in the Trade Marks Journal, the opposition window, hearings, registration and renewals. Patents bring FER replies, requests for examination and annuities. Each has a statutory or official deadline.

Staff check the IP India portal, update an Excel docket and email clients for instructions. Foreign associates want status reports and invoices in their format, often in another currency.

Where it breaks

What goes wrong for intellectual property law firms without a proper system.

The docket is a spreadsheet

Deadlines are typed in by hand from portal checks and emails. One wrong date and nobody notices until it is too late.

Clients don’t reply in time

You wrote for instructions on an examination report, the client went quiet, and the deadline is next week.

Journal watching is manual

Checking each Journal for marks similar to your clients’ is slow, so opposition chances are missed.

Foreign associate billing is messy

Official fees, professional fees and currency conversion are worked out per matter in Excel.

What the software does

What we would build for intellectual property law firms.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Deadline docket

Every matter with each statutory and internal deadline, reminders at set points, and a named person responsible.

Client instruction tracker

Reports sent, instructions awaited, and automatic chasers before the internal cut-off.

Portfolio view per client

All marks and patents for a client by status, class and country, ready to send as a report.

Renewal calendar

Trademark renewals and patent annuities listed months ahead, with renewal letters prepared.

Associate billing

Invoices by matter with official and professional fees split, in the associate’s currency.

Common questions

Questions intellectual property law firms ask before they call.

Does it read status directly from IP India?

Only where the portal allows data to be fetched reliably. Otherwise staff update status from portal checks and emails, and the docket recalculates deadlines from that entry.

Will invoices go into Tally?

Yes. Domestic and foreign invoices, with official fees shown separately, can post to Tally for your accountant.

Should we buy a ready IP docketing tool?

Several good docketing tools exist, and if one fits Indian practice and your associates, buy it. We are useful when your workflow, reports or client portal need to be your own.

Who can see client matters?

Only the attorneys and staff assigned to that client. Access is by role and every change to a deadline is logged with who made it.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
